Your team
The various business areas of the European Central Bank (ECB) regularly need Management Assistants and Business Process Assistants for periods ranging from one to three years to cover temporary staffing requirements (absences, projects, etc.).
We are establishing a reserve list of candidates who may be considered for such positions over a period of two years, depending on future organisational needs.
As a Management or Business Process Assistant, you will provide administrative support to management and staff in their task of fulfilling the ECB’s mandate of maintaining price stability and supervising banks. You will be working in a dynamic environment with colleagues from all over Europe.
The ECB is an inclusive employer and we strive to reflect the diversity of the population we serve. We encourage you to apply irrespective of age, disability, ethnicity, gender, gender identity, race, religious beliefs, sexual orientation or other characteristics.
Your role
As a Management or Business Process Assistant, you will:
•provide administrative support to management and staff, which may include assisting with the running of various business processes (e.g. monitoring central inboxes, creating and coordinating workflows, and liaising with internal and external stakeholders);
•organise meetings and events;
•manage calendars and business travel arrangements, help process expense claims and maintain stocks of office supplies;
•support your unit’s financial/budgetary processes and contribute to budget planning;
•assist with human resources processes for your unit (e.g. recruitment, on-boarding and training);
•manage the flow of information, handling internal and external emails and telephone calls;
•manage your unit’s document management workspace.
These positions offer you excellent opportunities to learn about and administer key processes and systems at the ECB, providing diverse teams with the support they need to carry out the ECB’s tasks. You will be part of a multicultural team that strives for continuous innovation to make a positive impact on the lives of European citizens.
Qualifications, experience and skills
Essential:
•relevant vocational training or equivalent (such as a university degree) in accounting, public administration, business administration, law, human resources, finance, information technology, communications or another relevant field (see How you can join us for details on equivalences);
•in addition to the above, a minimum of two years’ professional experience in the field of administrative support;
•professional experience working for an international public institution or an international private sector company;
•professional experience organising on-site and virtual events, conferences or high-level meetings;
•advanced user knowledge of MS Word, PowerPoint and Outlook and intermediate knowledge of Excel;
•professional experience in archiving systems and data management;
•an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.
You are recognised as someone who supports others proactively. You work constantly to improve your own output and you learn willingly from other people’s diverse perspectives. You signal any need for change by explaining it and proposing alternative solutions. Your strong capacity for analytical thinking enables you to work with incomplete information and you deliver in line with stakeholder needs.
You are motivated to contribute to the ECB’s mission, to serve the citizens of the EU as a member of a public institution and to work with colleagues from all over Europe. You are motivated to be part of a team and to develop and use your skills and competencies to achieve the aims of this position.
Working modalities
We would be happy to discuss part-time arrangements for these roles.
Further information
The contracts offered will be fixed-term, the appointment being for a period of at least one year as of the exact starting date of the selected person.
Temporary appointments may be extended or made permanent subject to organisational needs and budgetary constraints. This may result in a staff member with a non-convertible fixed-term contract being offered a convertible contract in accordance with the ECB Conditions of Employment.
Application and selection process
The recruitment process for these positions will include a pre-recorded video interview in the pre-selection phase and – if you are invited to participate in the subsequent selection phase – a written exercise and an interview.
If you are not selected for this position but are still considered suitable, you will be placed on a reserve list (see step 4 of How we hire), from which you might be considered for similar positions within the ECB.
