Duties and Responsibilities
The United Nations Environment Programme (UN Environment) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The UN Environment Africa Office represents UN Environment in Africa and coordinates its programme of work in the Region. The office ensures that there is effective and efficient delivery of interventions in response to regional, sub-regional and national needs. It also ensures that there is better coherence and coordination in the effective delivery of environmental capacity-building and technical support at all levels in response to country needs and priorities. The UN Environment Africa Office delivers its work through seven sub programme areas namely: Climate Change, Resilience to Disasters and Conflicts, Healthy and Productive Ecosystems, Environmental Governance, Chemicals, Waste and Air Quality, Resource Efficiency and Environment Under Review. RESPONSIBILITIES Under the direct supervision of the Head of Office, the incumbent is responsible for the following duties: • Provide support in organizing visits for high-level delegations – including support to the Protocol functions on the high-level delegations attending the AU Commission meetings, AMCEN, the 2025 South Africa G20 Presidency Working Groups, the High-level Missions to South Africa, Pretoria etc. • Support the International staff with the required documentation, visas, and other requirements through the Ministries of Foreign/ International relations. • Conduct Protocol functions in assisting the Office with organizing meetings for major events, liaising with government officials, delegation representatives, and briefings on accreditation and access issues. This includes arranging and coordinating special needs and requests for visiting dignitaries. • Inspect the conference rooms to ensure preparation before the meeting and after, working with relevant sections/units to ensure satisfactory preparation of facilities. • Assemble, copy, and distribute background papers and agendas. • Assist in day-to-day protocol activities by coordinating with government offices to handle services for staff members and visiting dignitaries. • Report any protocol-related issues to the Head of Office, alerting them of any concerns or potential disruptions. • Update relevant host country offices on protocol norms, procedures, and any changes to local customs. • Review and maintain the UNEP Liaison Office Protocol and VIP lists, ensuring all information is accurate and up-to-date. • Facilitates the safe transportation of delegates and other authorized personnel and for the transport of general cargo goods; Ensures that the steps required by rules and regulations are taken in case of accident. • Takes care of the day-to-day maintenance of the assigned vehicles, check oil, water, battery, brakes, tires, etc.; perform minor repairs and arranges for other repairs and ensures that vehicle is kept clean. • Supports administrative assistant in processing vehicle clearances/registration, customs and tax related matters in support of staff of the Regional Office; Applies good judgment in the context of assignments given. • Perform any other duties as assigned.
Qualifications/special skills
Completion of secondary school or its equivalent commercial school is required. A minimum of three (3) years of progressively responsible experience in provision of protocol clerk services is required. Experience working in an international organization is desirable. Experience in dealing with International Relations Ministry/authorities in expediting protocol clearances, visas etc. is desirable Experience handling high-level officials is desirable.
Languages
English and French are the working languages of the United Nations secretariat. For this position, English both oral and written knowledge is required. Knowledge of another UN language is desirable.
