supports the heavy-duty fleet operations of the Uganda Country Office as well as operations
across the East and Southern Africa region. The hub leases trucks to country offices to address
critical transport capacity gaps in the commercial transport market and provides a range of fleet
support services, including technical assistance, and fleet management support.
In addition, under the umbrella of the Transport Training Centre (TTC) based in Accra, Ghana, the
Kampala Hub delivers fleet and transport-related training programmes to WFP staff and partner
organizations across the region, contributing to the strengthening of fleet management and
transport capabilities.
To support these activities, WFP is seeking a Fleet Operations and Training Associate who will
provide operational, administrative, financial, and coordination support to the Kampala Fleet
Hub and the TTC, ensuring the efficient delivery of fleet services and training activities across the
region.
KEY ROLE & RESPONSIBILITIES:
• Coordinate the deployment of fleet assets and ensure the timely and effective utilization of fleet trucks in support of operational requirements.
• Manage and coordinate light vehicle (LV) service and maintenance requests received through the Fleet Booking Hub, ensuring timely processing of bookings and preparation of related invoices.
• Coordinate outsourced fleet personnel management, including drivers and mechanics, liaising with service providers and processing monthly service invoices in accordance with corporate procedures.
• Manage the Fleet Hub petty cash account, ensuring proper documentation, reconciliation, and compliance with WFP financial procedures.
• Process procurement and financial transactions, including Purchase Requisitions (PRs) and Material Purchase Orders (MPOs), as requested by the Regional Fleet Manager.
• Provide operational, administrative, and coordination support to the Regional Fleet Manager and contribute to the effective delivery of fleet services across the region.
• Serve as the focal point for Transport Training Centre (TTC) activities at the Kampala Fleet Hub, supporting the planning, coordination, and implementation of training programmes and related activities based on the instructions of the TTC Training Coordinator.
• Assist in training needs assessments and follow-up actions for assigned country offices, liaising with the TTC Coordinator to ensure the timely delivery of training activities in line with operational requirements.
• Support the organization and delivery of training events, workshops, and meetings, including preparation of administrative documentation, invitation letters, participant coordination, visa arrangements, and oversight of service providers such as catering and interpretation services. • Maintain effective working relationships with internal and external stakeholders, facilitating information sharing, coordination, and the effective delivery of fleet and training services.
• Support the collection, organization, and management of audio-visual content documenting TTC activities, training events, and fleet initiatives.
• Contribute to the implementation of communication and visibility activities for the TTC, ensuring alignment with project objectives and corporate communication standards.
• Assist in the development of communication products and outreach materials for internal and external audiences, ensuring consistency with WFP branding and corporate messaging.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
Completion of secondary school education OR University degree (Diploma/Bachelor) in Supply Chain OR a related field is highly preferred.
Experience:
At least seven years of experience with a secondary school certificate OR University degree (Diploma/Bachelor’s) with a minimum of three or more years of experience in supply chain, with proven capability in fleet management. Knowledge & Skills:
• Prior experience with the UN system or an international NGO is desirable.
• Experience in computer applications (MS Office, internet).
• Knowledge of fleet management and transport operations.
• Knowledge of administrative and financial procedures, including procurement, invoice processing, and budget tracking.
• Understanding of communication and outreach activities
• Strong organizational and coordination skills with the ability to manage multiple activities simultaneously.
• Excellent planning and follow-up skills. Languages:
• Fluency in oral and written English, including strong writing skills
