Duties and Responsibilities
These positions are located in the Office of Supply Chain Management (OSCM) in the Department of Operational Support (DOS). The Office of Supply Chain Management includes the Office of the Assistant Secretary General for Supply Chain Management, Logistics Division, the Procurement Division, the Uniformed Capabilities Support Division, Global Service Centre, Aviation Safety Section and the Enabling and Outreach Service. OSCM is committed to building efficient, agile, responsive, accountable, end-to-end uniformed capabilities and supply chain solutions for all our global partners and clients. Supply Chain Management covers a wide scope of services including supply chain planning and performance management, logistical support, procurement, vendor management and supplier diversity, aviation safety, and uniformed capabilities support. In addition to operational services and support, OSCM also provides advisory services and guidance to nearly 100 client entities globally, as well as to troop and police contributing countries (T/PCCs). The incumbent will report to the Team Leader and Section Chief of the Vendor Outreach and Management Section of the Enabling and Outreach Service (EOS) . Duties and Responsibilities OSCM offers internship opportunities that provide a unique blend of hands-on experience in talent acquisition, candidate management, with a unique blend in Project Management and Data Analytics. This internship will support the Vendor Outreach and Management Section in EOS, with a particular focus on strengthening the due diligence process for the review of vendor registration. The Project Management intern will perform the following • Supports the design and implementation of a vendor-registration due diligence verification for an evaluation matrix for Level 1 and Level 2 registrations, including documentation of requirements, criteria, workflows and decision points. • Assists in tracking project progress and timely completion of deliverables on a daily, weekly, and/or bi-weekly basis. • Maps the vendor registration review process and translates existing requirements into clear, predefined assessment criteria and verification steps that will offer a second layer of verification or alerts to the registration officials • Efficiently manages time and meets deadlines, demonstrating flexibility to adapt to changing project requirements and priorities. •Reviews the types of business and financial information submitted during vendor registration and helps identify potential indicators of inconsistency, insufficiency or potential need for further clarification. • Leverages Agile Principles to analyze project tasks, timelines, and deliverables for project continuity. • Coordinate weekly updates for key projects, integrating team inputs into internal systems for records. • Supports the development of a practical model or prototype—using a web-based solution, spreadsheet/database tool or other suitable medium—to guide registrations through verification and further due diligence based on predefined criteria. • Develops and deliver presentations to communicate project updates and findings to the management and higher personnels. Tests and refines the prototype using sample scenarios, documents findings and proposes improvements to support consistent application. • Collaborates with cross-functional divisions to ensure organizational/ departmental objectives are met with timely communication and updates. Collaborates with vendor management, procurement, finance, information technology and other relevant stakeholders to validate requirements and ensure that the proposed approach is operationally practical. • Translates data results into written reports, or presentations to convey information to management. • Prepares and update drafts of meeting agendas, document notes, and assign tasks as relevant • Demonstrates strong verbal and written communication skills to interact with team members and internal stakeholders, and ability to create reports and present data findings clearly\ • Supports meetings and consultations related to the project, including preparation of background materials and follow-up on agreed actions. • Supports data cleaning, validation and organization of vendor-registration or related reference data used for analysis and testing. • Creates simple data visualizations for internal or external use independently. • Has the ability to identify issues and develops solutions, utilizing analytical thinking to analyze data and draw meaningful insights • Has in-depth theoretical and familiarity with business management, accounting and financial information, • Has knowledge of advanced key business tools (e.g. Excel, including PivotTables, VLOOKUP, and XLOOKUP, PowerPoint, Word). • Uses appropriate business and analytical tools to build and document the model. Advanced Excel skills are desirable; familiarity with web-based tools, databases, workflow tools, data visualization platforms or simple model/prototype development is an asset.
Qualifications/special skills
To qualify for an internship with the UN, applicants must meet one of the following requirements: (a) be enrolled in a graduate school programme (second university degree or equivalent, or higher). (b) be enrolled in the final academic year of a university degree programme (minimum bachelor's level or equivalent) or (c) have graduated with a university degree (as defined above). • No work experience is required to apply for the United Nations Internship Programme. Your training, education, advanced course work or skills should benefit the United Nations during your internship. • The preferred candidate would have a degree or pursuing studies preferably in the areas of Business Administration, Finance, Accounting, or a related field. • Experience using Office 365 applications, including MS Word, Excel and PowerPoint, is required. Advanced Excel capability and experience structuring financial or business data are desirable. • Experience in drafting reports, presentations, and presenting findings is desirable. • Experience in data collection, analysis and visualization is desirable exposure to reviewing financial statements, due diligence or other verification processes is an asset. • Experience as an advanced Microsoft Excel user is desirable. • Demonstrated ability to work with minimal supervision in a complex environment is an asset. • Knowledge of data analysis, visualization, database, workflow or web-development tools is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
Additional Information
Visa and Work Authorization Mandatory Requirements: For internships in the United States of America, persons who are not United States citizens, permanent residents or on another non-immigrant (such as F1 or J1 visa) status, will be required to obtain a G4 visa. The selected person will be responsible for ensuring that they have a valid visa, and approved employment authorization (CPT/OPT/AT), allowing them to undertake the internship.
