About the Country/Multi-Country Office
The New York Portfolios Office (NYPO) manages UNOPS' New York-based portfolios, delivering project and programme management, procurement, HR, and financial services to global partners, from the UN Secretariat to Member States. NYPO strategically positions UNOPS with these partners, fostering collaboration to achieve growth and leveraging expertise in global portfolio design and implementation. We support the broader SDGs and 2030 Agenda, primarily assisting the UN Secretariat and other New York-based UN entities with a global reach. NYPO encompasses the Peace and Security Cluster (PSC), focusing on explosive threat management, and the Sustainable Development Cluster (SDC), providing diverse operational support to the UN system in New York.

In Colombia, UNOPS implements the UNMAS programme to support the National Government in matters related to Humanitarian Mine Action (HMA) and compliance with the State's obligations under the Ottawa Convention. UNMAS Colombia's mission is to provide technical assistance to the Colombian State to enable communities to live free from the threat of explosive devices and to enable HMA to contribute to the country's peace and development processes. This position is embedded within a programme aimed at strengthening Colombia’s HMA sector through an integrated approach that includes: (i) the strengthening of the national policy and regulatory framework; (ii) the enhancement of operational capacity, including emergency response; and (iii) the reinforcement of resilience to explosive ordnance (EO) at the local level. PSC operates within UNOPS’ broader commitments to diversity, equity and inclusion (DEI), gender equality and social inclusion (GESI), and the prevention of sexual exploitation, abuse and harassment (PSEAH), as set out in the UNOPS DEI Strategy and Accountability Plan 2026-2029. Within the mine action context, these commitments are operationalised through the PSC GEDSI Strategy 2026-2029 which set expectations for inclusive recruitment, workforce representation, and the integration of GESI and PSEAH into programme delivery and implementing partner oversight. All PSC roles, including this position, are expected to contribute actively to these commitments. |
Role Purpose
The Intern provides operational, administrative, and logistical support to the Support Services Unit. Under the direct supervision of the Support Services Associate, the intern will assist in the day-to-day delivery of support functions including general administration, procurement, asset management, logistics, and human resources, support in ensuring compliance with UNOPS rules, regulations, and operational policies.
Functions / Key Results Expected
1. Procurement Support
- Assist in the coordination of administrative procurement activities for the UNOPS office.
- Assist in drafting solicitation documents, receiving and opening bids, and preparing preliminary evaluation summaries/reports.
- Assist with vendor profile creation and transaction processing in the oneUNOPS system.
- Maintain and update the procurement plan and procurement tracking sheets in a timely manner.
2. Asset and Logistics Management Support
- Assist the team in organizing, maintaining, and updating asset inventory records and databases.
- Support asset tagging exercises, regular stocktaking, and physical inventory verifications.
- Assist in cross-checking and reconciling asset data across tracking tools (WASP / oneUNOPS).
- Coordinate transportation arrangements and logistics requests with project teams.
3. Administrative and Logistical Support
- Assist in making administrative arrangements for events, workshops, and meetings.
- Support travel management administration, including flight bookings.
- Support the administration of visa requests, protocol documentation, and liaison logs.
- Assist in receiving, recording, organizing, and routing official correspondence.
- Assist in the administrative handling and recording of petty cash in accordance with UNOPS financial policies.
- Maintain organized physical filing systems and digital archives (Support Services Drive) to ensure smooth payment processing and audit readiness.
4. Human Resources Support
- Provide administrative support to recruitment processes (drafting job postings, organizing candidate files, and scheduling interviews).
- Assist in drafting interview minutes/panel reports
- Support the organization of onboarding activities and induction materials for new personnel.
5. General Support
- Support the integration and implementation of organizational policies, including the Gender Parity Strategy and Prevention of Sexual Exploitation and Abuse (PSEA) principles.

Required:
- Applicants must be enrolled in a university programme such as Bachelor, Masters or Ph.D. (or the equivalent) or have graduated from such studies within three (3) years prior to the applications date of the internship

- Area of study should preferably be in areas of Business, Administration, Asset and Logistics, Procurement, Data Analytics, Management, International Relations or other related areas.

- Experience in use of Google Suite (in particular Slides, Docs, Sheets) is an advantage
- Experience in Data Analysis is highly desirable, in particular the use of data studio and Google Sheets.
