Job Description
The Procurement Intern will assist with day-to-day administrative, procurement, and coordination activities. The intern will help ensure continuity of routine processes, particularly in administrative coordination, invoice processing and document management.
The internship will provide practical exposure to procurement and administrative processes within an international organization.
Responsibilities
Working under the overall direction of the GSSC RMO and direct supervision of RM Procurement Officer, the intern will assist with the operational activities of RM Procurement Unit. Tasks will include:
Under the guidance of the designated supervisor, the intern will:
A. Administrative and Coordination
Update procurement, RFQ and Staff Augmentation trackers.
Assist in organizing documentation related to RFQs, Purchase Requests, Purchase Orders, contracts, and Service Providers.
Monitor the status of assigned requests and flag pending actions.
Assist with routine coordination with Service Providers and internal stakeholders.
B. Interview and Recruitment Coordination
Coordinate interview schedules with Service Providers, hiring managers and relevant stakeholders.
Record interview outcomes and follow up on pending actions, as instructed.
C. Invoice and IST Processing
Assist in the preparation, checking, and routing of invoices and related supporting documents.
Monitor invoice processing and follow up on pending actions, as instructed.
Assist with IST (Inter-Office Transfer) processing and related documentation.
Maintain trackers for invoices and IST requests and ensure records are kept up to date.
Expected Outputs
Updated procurement, invoice, IST, and administrative trackers.
Organized and properly maintained electronic records and documentation.
Timely coordination of interviews, meetings, and other Unit activities.
Accurate and timely routing and monitoring of invoices and IST requests.
Updated status reports and administrative records.
Completion of other assigned administrative tasks within agreed timelines.
Qualifications
Education
Recent graduates or currently finishing their final year of university degree in business administration, management, finance/accounting, or procurement/supply chain management from an accredited academic institution are open to apply.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
- Prior internship experience is highly desirable, but not required.
Skills
Good organizational and coordination skills.
Good written and verbal communication skills.
Strong attention to detail.
Ability to manage multiple tasks and meet deadlines.
Proficiency in Microsoft Office, particularly Excel, Word, Outlook, and Teams.
Familiarity with SharePoint, Microsoft Lists, or other digital tools is an advantage.
Willingness to learn and work with new systems and processes.
Languages
For this internship, Fluency in English, both written and oral.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Notes
Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.
IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
