About the position

The
Intern will provide administrative, logistical, travel, procurement, and
coordination support to the Tropical Forages Program. The role will assist
research and program staff with day-to-day operational requests, including
travel arrangements, meetings and events, procurement processes, payment
follow-ups, and task tracking. The Intern will work closely with relevant
internal teams to ensure requests are processed accurately, efficiently, and
within agreed timelines, while maintaining clear communication and appropriate
records.

Main responsibilities

  • Process all travel requests, ticket flight
    options, ticket requests, monitoring of the trip (departures/arrivals on time,
    advance travel processing, insurance, visas, requirements, legalization and
    reimbursement of expenses.

  • Make logistical arrangements for meetings,
    conferences, and other events (including invitations, air tickets, hotels,
    etc.) and relevant follow-ups.

  • Support research staff in the hub in raising
    requests for the acquisition of goods and services and following up with the
    person responsible for implementation, liaising with accounting staff about
    payments.

  • Process assigned tasks from requests sent by
    Tropical Forages staff.

  • Collaborate with relevant teams to fulfil
    requests within agreed deadlines, maintain internal task-tracking spreadsheets,
    and communicate status / completion to requesters by email.

  • Carry out other administrative duties as
    required.

Education and Requirements

  • Bachelor's
    degree in Administration, Procurement, Logistics, Accounting, or related
    discipline.

  • Proficiency in Microsoft Office.

Terms of employment

This is a
nationally recruited position based in Nairobi, Kenya. The initial
contract will be for up to Six (6) Months, subject to a probation period
according to local legislation, and is renewable depending on the performance
and availability of resources.
