OBJECTIVES OF THE ASSIGNMENT
Based in Jakarta, Indonesia, the Finance and Operations Consultant will support the Finance and Corporate Services (FCS) team of the GGGI Indonesia Country Office in delivering finance, accounting, and operational activities, in line with the requirements, rules, and systems established by GGGI and its donors. The Consultant will play a key role in supporting day-to-day financial functions, including bookkeeping and compliance activities.
Working closely with the Finance and Operations Officer and the wider FCS team, the Consultant will assist in the implementation of financial and corporate service-related tasks to ensure smooth and effective delivery of GGGI Indonesia’s operations. The consultant will also be granted access to the ERP system of GGGI. Responsibilities will include the execution and documentation of financial transactions and ensuring appropriate financial coding and record-keeping.
GENERAL INFORMATION
1) Timeframe: The assignment will be completed over a year from 19 October 2026 – 18 October 2027
2) Consultancy fees: The Consultant will be paid a daily rate of USD 46 per day (based on an 8-hour working day) for a total of 216 working days during the Term when the Contractor provides the Services. If the Consultant provides the Services for less than the required hours on any day, then fees for that day will be reduced proportionally.
3) Notes:
• The Consultant is to provide his/her own equipment to produce all deliverables.
• The Consultant is expected to work offline and online and is expected to work at the GGGI Indonesia office at least four days a week.
• The Consultant shall submit any deliverables in electronic versions readable by a Microsoft Office application.
OUTPUT/DELIVERABLES
• Expense Verification: Provide support in verifying expenses in accordance with GGGI financial regulations, policies, and procedures, including reimbursements, vendor payments (invoice processing), cash advances, and other project-related expenditures. Ensure complete and accurate supporting documentation is maintained in SharePoint.
• Tax Administration: Serve as the focal point for tax administration matters, including the processing and administration of Surat Keterangan Bebas Pajak (SKB), tax exemption documentation, and tax refund applications. Maintain proper tax records and coordinate with relevant internal and external stakeholders to ensure compliance with applicable tax regulations and donor requirements.
• Office and Operations Management: Support the effective management of office facilities and day-to-day operational requirements.
• Invoice Registration: Serve as a backup focal point for invoice registration and related processing in the ERP system.
• Payment and Banking: Serve as a backup bank transaction preparer, supporting payment processing after verifying supporting documentation and obtaining the required approvals.
• Financial Record Management: Maintain accurate financial records and organize supporting documents to ensure readiness for audits and compliance with internal policies.
• Internal Controls & Compliance: Support adherence to internal financial controls, policies, and regulatory requirements to maintain financial integrity and compliance with GGGI procedures.
EXPERTISE REQUIRED
QUALIFICATIONS
- Minimum 2 years of relevant experience in finance, accounting, administration, or project support, including expense verification, invoice processing, payment administration, bookkeeping, financial record management, and ERP-based processes.
- Experience in procurement, contract administration, banking transactions, tax administration, and donor-funded projects is an advantage.
- Familiarity with internal controls, compliance requirements, and audit documentation.
- Experience working with international organizations, development agencies, or NGOs is an advantage.
- Strong organizational skills, attention to detail, and ability to manage accurate records and supporting documentation.
