The Middle East and Central Asia Department (MCD) is looking for an experienced and motivated Administrative Coordinator/Senior Administrative Coordinator to lead the administrative and organizational work in Division C. Division C covers 5 countries (Djibouti, Egypt, Somalia, Sudan, Yemen) which has a mix of program/surveillance and EM/LIC/FCS countries.
The Lead Administrative Coordinator will play a pivotal role in providing support to the division’s staff under the guidance of the Division Chief and the Deputy Division Chief; and will work closely with a shared administrative coordinator.
The responsibilities will include:
Workflow Management:
- Lead the seamless flow of administrative processes within the division.
- Monitor the busy work agenda, action items, and shifting priorities and ensure deadlines are met.
Document Management:
- Assist with preparation of country-related documents, briefs and memos with precision, ensuring adherence to Fund style and formatting guidelines.
- Transmit documents to review Departments, Management, and the Board.
Meeting and Events:
- Organize meetings, seminars, workshops, and/or conferences, including planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers.
Logistical Support:
- Manage travel arrangements for division members.
- Handle expense reports.
Coaching Junior Staff:
- Provide mentorship and guidance to junior staff within the division.
- Foster a collaborative and supportive work environment.
Department-Wide Initiatives:
- Occasionally contribute to and support department-wide initiatives.
Qualifications
To thrive in this role, the selected candidate should possess:
Education and Professional Experience:
- Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience (two of which in a lead capacity) is required.
Technical Proficiency:
- Proficient in Word, compound documents, Excel, Microsoft Teams and various software applications.
- Familiarity with PeopleSoft, DARTS, TIMS, Nexus, CRS and Fund practices and procedures.
Administrative Skills:
- Strong administrative, technological, and organizational capabilities.
- Ability to work accurately under pressure, multitask, and train junior staff.
A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
Only candidates who are currently residing in the Washington DC metro area will be considered.
Candidates need to have passed the IMF Office Assistant Exam to be considered for this position.
