The Project Manager will engage with the GSSC technical and business teams, and with the external vendor to ensure a successful implementation of the new platform, meeting the established requirements. The Project Manager will be responsible for resource management, monitoring of implementation activities, status reporting, stakeholder communication and risk mitigation. This role will work cross-functionally to solve problems and implement changes, following a defined project management methodology. The Project Manager will also work in close collaboration with focal points in the centre and in headquarters, to finalize the implementation of the Bank Communication Management project.

Background

UNICEF is implementing an integrated customer service management solution on ServiceNow cloud-based platform, to replace the two systems currently in use, HPE Service Manager (ITSM tool) and Neocase (Case Management tool.) The main goal is to streamline processes and provide better transparency and traceability, while increasing efficiency and improving service response time. The new system will implement all ITIL processes for ITSM, as well as selected business processes in Human Resources, Payroll, Finance and Master Data Management.

The GSSC is also in the last stages of implementing the SAP Bank Communication Management (BCM) project in order to make use of the efficiencies of automated bank transfers out of SAP, through partner bank chains. SAP Bank Communication Management is used for managing multiple bank communication interfaces, enabling connections to banks, tracking the entire payment life cycle of a transaction and improving straight-through processing rates and internal compliance.

Purpose

The Project Manager will ensure the effective and efficient day to day coordination of the ServiceNow project implementation in the GSSC and the finalization of the Banking project.

The Project Manager will also work in close collaboration with focal points in the centre and in headquarters, to finalize the implementation of the Bank Communication Management project.

Key Accountabilities and Tasks

ServiceNow Implementation Project (80%)

  • In coordination with the Senior Project Manager, develop and maintain the project work plan
  • Document all phases of the ServiceNow project implementation for the GSSC
  • Work with internal stakeholders and the external vendor in designing the business processes and required data for initial system configuration and integration
  • Ensure views of all stakeholders are considered, verified and validated, and appropriately prioritized to meet business objectives
  • Oversee implementation of GSSC related business processes in ServiceNow: track and monitor the project tasks performed by business owners, technical subject matter experts and the vendor, including timely preparation of business requirements, use and test cases, user testing, training data and plans
  • Monitor, coordinate and provide guidance in the resolution of technical and business related problems with ICT and business subject matter experts, business owners, and the vendor
  • Participate in meetings with the Senior Project Manager, project sponsors, stakeholders and project team
  • Participate in Project Board meetings and provide weekly progress reports and updates
  • Organize and coordinate meetings with GSSC project team
  • Prepare meeting minutes and briefing notes to project stakeholders
  • Oversee the documentation of technical, functional design documents, SOPs and user training with regards to GSSC processes
  • Follow required change and knowledge management processes, to ensure related training and communication activities are timely implemented, in a coordinated manner, before the release of the new platform
  • Document lessons learned to promote the recurrence of desirable outcomes, and preclude the recurrence of undesirable outcomes
  • Document ongoing roles and maintenance activities for the hand over to technical and business leads.
  • Manage project risk and related risk mitigation measures. Maintain and update risk log.

Bank Communication Management Project (20%)

  • Monitor project status, provide weekly progress reports to management.
  • Keep in contact with subject matter experts and banks for follow up, as required.

Qualifications of Successful Candidate

  • Bachelor or Master degree in Information Systems Management, Information Technology, Project Management, Computer Science, Business Administration or a related field is required.
  • Minimum 5 years of project management experience in systems project management (large-scale), software development, technical integration or business operation environments with a proven track record of interfacing with multiple levels of the organization and successful project completion is required.
  • Minimum 3 years of experience in change management for complex projects.
  • Experience managing ServiceNow software implementation and understanding of business requirements of ServiceNow.
  • Good knowledge of various ITSM modules (Request, Incident, Problem, Change, Problem, Knowledge, Asset, etc.)
  • Good knowledge of the Project Lifecycle and fluency in project manager methodologies (PMI Agile, PRINCE2 and PMBOK).
  • Solid experience in the use of project tracking tools such as MS Project.
  • Experience collaborating across multiple functions and working with operational SMEs, technical resources/ infrastructure and architecture teams.
  • Excellent communication and presentation skills (written and verbal) across multiple audiences with ability to influence others while working in a multicultural, multi-ethnic environment with sensitivity and respect for diversity.
  • High motivation, enthusiasm, and dedication to deliver results within strict timeframes.
  • Ability to work in a fast-paced matrix environment including managing across multiple geographies, functions and organizations often outside standard working hours.
  • High proficiency with Microsoft Office, specifically MS Project, Visio, Excel, and PowerPoint is required.
  • Experience with Systems Integration is required.
  • Solid experience in Financial and HR models in ERP systems (SAP, Oracle) is required.
  • Excellent knowledge of English is essential (both spoken and written)
  • Certification in project management methodology – PMI / Prince 2 or equivalent PMI Agile Certified Practitioner (PMI-ACP) is an advantage.
  • ITIL v3 certification is an advantage.
  • Experience in working with Public Sector organizations is an advantage.
  • Experience working in the UN system or other international humanitarian/development organizations is an advantage.
  • Experience with Treasury or banking related projects, knowledge of the banking module in SAP is an advantage.

Duration:

  • Initial period of 10 months, with possibility of extension subject to GSSC needs.
