Purpose for the job:

Under supervision of the Representative, performs a variety of secretarial tasks and functions.

Key functions:

  • Arranges appointments and maintains Representative and Deputy Representative’s calendar, receives high-ranking visitors, places and screens telephone calls and answers queries with discretion.
  • Arranges meetings, both internal and external, involving high-ranking officials, and takes minutes and/or notes at meetings. Make logistic arrangements for institutional events of the office.
  • Receives, screens, logs and routes correspondence, attaches necessary background information and maintains follow-up system.
  • Types correspondence, documents and reports, and mails documents and materials, some of which are highly confidential, ensuring that spelling, punctuation and format are correct. Selects and makes pertinent abstracts and undertakes searches for information. Distributes documents within the office and to government offices in the country in a timely manner.
  • Maintains up-to date policy, confidential and general files. 
  • Clears correspondence for conformity with established procedures and accuracy of statements before being signed by the Representative & Deputy Representative.
  • Maintains an effective database of Government officials and contacts related to the sector/projects (updated lists of names, addresses and telephone numbers of ministers, government officials and members of the diplomatic corps).
  • Makes travel arrangements for the Representative & Deputy Representative, and performs liaison duties with other offices.
  • Prepares informal translations and may act as interpreter.
  • Performs other duties as required.

Qualification required 

Work Experience: Five years’ experience as a bilingual executive secretary.

Education: Completion of Secondary School. Use of Windows and MS Office at an advanced level.

Language proficiency: Excellent oral and written communications skills in Spanish/English, able to independently prepare a variety of written outputs and edit technical reports.
