The Norwegian Refugee Council has approximately 5000 committed and competent employees involved in projects across four continents. In addition, NRC runs one of the world’s largest standby rosters -NORCAP, with 650 professionals, ready to be deployed on 72 hours notice when a crisis occurs
The Office Manager is responsible for day to day running of the office administration and administration staff, head office procurement and budget responsibility as delegated from Head of HO HR. This postion is also responsible for coordinate the work and planning for Organisation Department, and to make sure necessary support capacity. The position will also contribute to internal improvement processes with delegated authority from the Director of Organisational Development.
Job description
Generic responsibilities:
- Line management and budget responsibility for Support and Administration unit
- Responsible for the office administration and quality controll of office facility, including various subcontractors such as landlord, cantine, cleaning, travel agencies, hotels, flower etc
- Explore, initiate, develop and implement better administration procedures, SOPs, guidelines and tools at HO aligned with NRC policies, guidance and handbooks
- Responsible for the reception additional to timely and relevant admin support to the OD
- Responsible for internal communication (Workplace and Sharepoint)
- Responsible for cost efficient procurement, licenses, leases and contracts relevant for administration and support of Head Office
- Support the Director of OD, in documenting and archiving relevant documentation
- Responsible for updated routines realted to visa application for HO staff and international staff
- Responsible for the physical archive in house and “Oslo paper remote archive”
- Perform other duties as appropriate
Specific responisbilities:
- Drive and facilitate internal department processes, develop, follow up and report on strategy, budget and action plans
- Ensure that lessons learned from analysis are documented, shared and fed into strategic development
- Ensure compliance to the Norwegian Internal control regulation
Qualifications
- Minimum 3-5 years of relevant management experience within office administration and procurement
- Documented ability to deliver results and managing teams to deliver according to plan
- Networking and representation skills
- Fluency in both English and Norwegian, both written and verbal
- Proactive attitude and ability to work independently and as a team
- High degree of personal flexibility, service attitude and ability to prioritize
- Knowledge about Norwegian Internal control regulation
