The United Nations Department of Field Support, Information and Communications Technology Division (UN DFS-ICTD) is responsible for the delivery of architectural decisions in alignment with the ICT strategy of DFS. UNOPS has been requested to assist in the implementation of this activity.

Functional Responsibilities

Under the overall supervision of the UNOPS DFS Senior Programme Manager, the incumbent will be responsible for the performance of the following functions:

  • Provide general office assistance, set up and maintain files/records, organize meetings, physical space planning, identification of office technology needs, maintenance of equipment inventory, etc.;
  • Perform other related administrative duties, as required, e.g. human resources, operational training and travel administrative assistance, attendance and leave recording, recording of expenditures and facilitation of financial recovery;
  • Compile, summarize and present basic information/data on specific projects and related issues;
  • Assist with the submission and review of project documents, budgets, ensuring necessary approval and entry in computerized systems;
  • Liaise with project management groups in other locations such as UNGSC, UNSB-V as well as field missions as required;
  • Assist with monitoring status of project proposals and receipt of relevant documentation for review and approval;
  • Assist in the preparation and coordination of internal and external communication materials;
  • Perform other related duties as required.
  • Impact of Results 
  • The result of work of the ICT Project Assistance impacts directly on the delivery of services that satisfy the requirements of the Department as well as the performance of the services implemented in the DFS/DPKO field missions and headquarters. It will also ensure proper processes and methodologies are followed and implemented according to the established standards.

Education/Experience/Language requirements

Education:

The minimum education requirement for this position is a High School Diploma or equivalent. A Bachelor or master’s degree in ICT, Finance, Human Resource, Business Administration or related field may be considered in lieu of experience.

Experience:

  • Minimum of 5 years of progressively responsible administrative experience in an international/ multicultural organization in the field of ICT, finance, human resources, or other related fields is required. A candidate with a University degree must have at least one year of experience in the relevant area.
  • Proficient knowledge of MS Office, MS Project and SharePoint is desirable.
  • Experience in writing of various communications materials and related documents is desirable.
  • Knowledge of the Department of Field Support, UN systems and applications and Staff Regulations and Financial Rules is desirable.

Certificate:

PRINCE2 Foundation and/or Practitioner certifications are highly desirable

Language Requirements:

Fluency in spoken and written English is required. Knowledge of a second UN language is highly desirable.
