Background Information - Job-specific

Under the guidance and direct supervision of the Logistics Officer and the Programme Support Officer, the Fleet Logistics Assistant manages and ensures the provision of efficient and timely logistic and transportation support services to Country Office and Operations/Project Centers. In the discharge of her/his duties, the Fleet Logistics Assistant liaises with UNOPS Programme Support Officers, Hub resource manager, Project Managers and Logistics Team in order to ensure consistent service delivery. She/he will Perform unskilled to skilled maintenance, preventative maintenance and general repairs to Organizational vehicles and generators as assigned as needed. The Logistics Fleet Assistant promotes a client, quality and results-oriented approach.

1. Ensures implementation of operational strategies, focusing on achievement of the following results:
Full compliance of financial processes and financial records with UNOPS rules, regulations, policies and strategies
2. Provides Financial and administrative support , focusing on achievement of the following results:
  • Assistance in proper control of the supporting documents for payments and financial reports; payment execution.
  • Processing of financial documentation (vouchers, supporting documents, etc.) and maintaining internal expenditures control system by ensuring that vouchers processed are matched and completed, transactions are correctly recorded and posted in oneUNOPS; travel claims, and other entitlements are duly processed
  • Payable management - tracking of invoices to ensure timely payments to vendors
  • Provision of information for reports on financial status, procedures, exchange rates, costs and expenditures and potential funding problems.
  • Follow-up with clients and other United Nations agencies for information relating to payments.
  • Preparation of routine correspondence, faxes, memoranda and reports in accordance with standard operating procedures.
  • Extracting, inputting, copying and filing data from various sources.
  • Maintenance of the proper and complete filing system for financial records and documents.

3. Ensures facilitation of knowledge building and knowledge sharing, focusing on achievement of the following results:

  • Participation in the trainings for the operations/ projects personnel on Finance.
  • Contributions to knowledge networks and communities of practice. 
  • Other assignments as assigned by supervisor.
Impact of Results  The key results have an impact on the overall execution of the UNOPS financial services.  Accurate data entry and presentation of financial information and a client-oriented approach enhances UNOPS’ capability to effectively and efficiently manage financial resources.



Education

Education:
Completion of Secondary School with relevant certification/ High School Diploma Certification is required.

Applicants with Diploma Certificate in Accounting, Finance, Business Administration and other relevant discipline with three (3) years of relevant work experience will be considered. 

Applicants with Bachelor’s Degree in relevant discipline with 1 year of relevant work experience will be considered. 

Experience:

Minimum 5 years of relevant accounting and financial experience at national level is required. A first-level university degree (Bachelor’s or equivalent) or higher qualification in the relevant discipline (accounting, finance, business administration) may substitute for some or all of the required years of experience.

Experience in ERP and/or accounting packages (e.g. ATLAS, oneUNOPS, etc) is added advantage.

At least one (1) experience in the usage of computers and office software packages (MS Office 2003 and/or newer versions), including usage of spreadsheets, is required. 

Experience working in an international organization desired. 

Experience working in the United Nations system an asset.

Knowledge of UN financial and administrative rules and regulations an asset. 


Language:
Fluency in written and oral English is required.
