1.      Organizational Context
 
Organizational Setting

 

The post is located in the in the HR Service Desk, Pension and Insurance Unit, HR Operations Service of the Human Resources Management Department.  The HR Operations Service is a "one-stop" service center designed to provide a full range of administrative staffing services that include, but are not limited to\: contracts for all categories of staff; staff entrance and exit formalities; staff benefits and entitlements; staff presence/absence management; the administration of the Organization's insurance policies and pension schemes; HR payroll interface and liaison with Swiss authorities regarding staff's residence in the country.

 

 

Purpose Statement

 

The incumbent is in charge of replying to all types of queries addressed to the Human Resources Service Desk on human resources matters.

 

 

Reporting Lines

 

The incumbent works under the supervision of the Human Resources Operations Manager.

 

 

Work Relations

 

The incumbent liaises frequently with concerned work units throughout the Organization on the follow-up of HR administrative actions.

 

 

2.      Duties and Responsibilities
 
The incumbent will perform the following principal duties\:
 
a.   Provide response to queries addressed to the Human Resources Service Desk, in particular on time management, orally and in writing in a timely and service-oriented manner, in French and English, in line with WIPO applicable rules, regulations, policies and procedures.
 
b.   Open incoming mail and manage related tasks (e.g. medical certificates, overtime, etc.).
 
c.   Draft routine correspondence and prepare supporting documentation on a range of standard HR administration issues;  prepare requested attestations and certificates.
 
d.   Verify, maintain and update all personnel records related to the specific area of work (i.e. absence management for all leave types and presence management with overtime and flexible working hours);  Verify and update staff personal data and incorporate information into staff files, ensuring accuracy and completeness;  perform data cleansing and data validation work;  input data and maintain HR information systems on absence management and flexible working hours;  monitor pending files and follow-up with concerned operational units;  compile data for the preparation of statistical reports.
 
e.   Examine requests for information on staff entitlements; calculate entitlements for straightforward cases, in particular sick-leave entitlements in case of long term absence.  Inform the staff and coordinate with the HR Operations Manager to take the necessary actions in the system for payroll.
 
f.    Manage requests in relation to establishment of United Nations Laissez-Passer.
 
g.   Establish certificates to staff members upon request (Tax, contract dates, etc.)
 
h.   Participate in new Time Management ERP development as required;
 
i.    Perform other job-related duties as required.
 
 
3.      Requirements
 
 
Education (Essential)
Completed secondary education.
 
 
Experience (Essential)
At least five years of relevant work experience, including in client-servicing functions.
 
Experience (Desirable)
Relevant experience in a UN or other international organization. Experience in a Human Resources Management environment.
 
Language (Essential)
Excellent written and spoken knowledge of English or French and good knowledge of the other language.
