Under the supervision and guidance of the Human Resources Specialist, the Human Resources Assistant provides administrative, procedural and operational support and assistance to the efficient implementation of a broad range of Human Resources functions for all categories of staff in his/her office, ensuring accurate and timely delivery, whilst promoting a client-based, quality and results orientated approach to the unit and ensuring compliance with UNICEF HR rules and regulations.

How can you make a difference?

Under the supervision and guidance of the Human Resources Specialist, the Human Resources Assistant provides administrative, procedural and operational support and assistance to the efficient implementation of a broad range of Human Resources functions for all categories of staff in his/her office, ensuring accurate and timely delivery, whilst promoting a client-based, quality and results orientated approach to the unit and ensuring compliance with UNICEF HR rules and regulations. 

Key functions, accountabilities and related duties/tasks

 

  1. Performs functions of Focal Point for Contracts by maintaining all records of consultants contracts and assembling documentation for Notification Letter. Maintains and updates the Roster for Consultants.  Maintain and updates records of all Payments made against each contract.   Ensure all documents concerning the contracts are properly filed
  2. Maintain and update office attendance records. Monitors and administers all types of Leave for staff members, (e.g. annual leave, home leave points, uncertified and certified sick leave, special leave maternity leave, part-time employment and flextime etc).
  3. Assists the supervisor with the consolidation and preparation of the Office Training Plan and makes necessary follow-ups on status of implementation of Office and Individual Training Plans.
  4. Focal point for filing and archiving of HR Files in accordance with UNICEF Policy on archiving.
  5. In consultation with supervisor, researches and analyses data and information to help identify training needs within his/her country office for the development of learning plans and other targeted training interventions.
  6. Assists in monitoring and following-up on effective completion of Office Performance Evaluation Reports of all staff members in compliance with provided guidelines
  7. Assist the HR Specialist in the recruitment process which includes drafting vacancy announcements for positions within his/her office for review by supervisor to help attract ideal candidates, preparation of matrix, arranging for interviews, preparing orientation schedule and conducting orientation to new staff members. Monitors life-cycle of recruitment process to update supervisor as necessary.

To qualify as an advocate for every child you will have…

Bachelor's degree in Human Resources Management, Business Administration and Management or other relevant field. A Master's degree is an asset. 

Experience

  • A minimum of 5 years of progressively responsible human resources or administrative work experience required.
  • Fluency in English and local working language of the duty station.
