Background

Under the guidance and supervision of the Head of Admin Unit, the Driver provides reliable and safe driving services to the UNDP Turkey Country Office, the UNDP Resident Representative, Country Director, Deputy Country Director and other high-ranking UN officials and visitors ensuring highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues. The Driver also ensures clerical assistance for the registry-related issues and maintenance of office equipment. The Driver demonstrates high quality and accuracy of work demonstrates a client-oriented approach, courtesy, tact and ability to work with people of different national and cultural backgrounds.

 Upon request of the supervisor, the Driver can also be required to provide driving services to the operations and programme staff in the CO, Consultants and Experts and UN staff on mission.

The Driver is expected to fully adhere to and keep abreast with standing UNDP guidelines and policies concerning drivers’ roles and responsibilities as stipulated in the Programme and Operations Policies and Procedures (POPP) as well as the Inter-Office Implementation Arrangements with regard to the roles and responsibilities of the drivers, and any other instructions to be provided by the supervisor.

Duties and Responsibilities

  1. Ensures provision of reliable, safe driving and messenger services by a) driving the office vehicles for the transportation of UNDP RR, UNDP CD/DCD, other high-ranking officials and visitors and delivery and collection of mail, documents and other items, b) meeting official personnel and visitors at the airport including visa and customs formalities arrangement whenever required c) delivery and collect of official documents/envelopes from/to UNDP counterparts.
  1. Ensures proper use of vehicle through timely and accurate completion of the car key logs and daily vehicle logs; effective planning of the maintenance periods for the UNDP vehicles and timely preparation and follow-up of franchise documents (Takrir) for the purchase of tax-exempted fuel.
  1. Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc. and arrangement of Compulsory Traffic Insurances and Comprehensive Insurances.
  1. Ensures availability of all the required documents/supplies including vehicle insurance, daily vehicle logs, office directory, map of the city/country, first aid kit, necessary spare parts, as well as others as required in line with the UN Security Management Policy and Country MOSS, in the assigned vehicle.
  1. Ensures that all immediate actions required by rules and regulations are taken in case of involvement in accidents. Ensures that the local traffic rules as well as the UN code of conduct are fully adhered to.
  1. Provision of clerical assistance for registry-related issues through opening of UN pouches, recording of all incoming/outgoing documentation through the E-Registry System and recording of the LTA company invoices into the intranet Payment Tracking System and any other clerical duties assigned by the supervisor.
  1. Installation of supplies and spare parts for office machines such as photocopy and fax machines.

  • Creates, edits and presents information (queries, reports, documents)  in visually pleasing, clear and presentable formats  such as tables, forms, presentations, briefing notes/books and reports using advanced word processing and presentation functions and basic database and spreadsheet software
  • Ability to produce accurate and well documented records conforming to the required standard

Planning, organizing and multi-tasking

  • Organises and accurately completes multiple tasks by establishing priorities while taking into consideration special assignments, frequent interruptions, deadlines, available resources and multiple reporting relationships
  • Plans, coordinates and organises workload while remaining aware of changing priorities and competing deadlines
  • Demonstrates ability to quickly shift from one task to another to meet multiple support needs
  • Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support

Required Skills and Experience

 Education:

 High School Education. Valid Driver’s license. 

Experience:

  •  3 years’ work experience as a driver; safe driving record;
  • Knowledge of protocol, security, driving rules and regulations
  • Skills in minor vehicle repair.
  • Relevant work experience in clerical assistance, messenger and registry related tasks

 Language Requirements:

 Fluency in English and Turkish.
