ORGANIZATIONAL CONTEXT

 Job holders may either perform administrative support functions in the front office and report to logistics Officer (Operations), or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate. At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.

Language: Fluent (level C) English and Arabic in both oral and written communication

Experience:

  • Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative and logistics work.
  • Good experience in Geographical Information System

    Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.  

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Provide support for obtaining security clearance from MOI and De Confliction from EHOC
  2. Coordinate all process for SC and De Confliction with Transporters/WFP Security Unit
  3. Prepare necessary documentations and liaise with authorities for clearance
  4. Extract and timely recording of data within the specific technical area of work
  5. Follow up and liaise with MOI for all SC submitted for clearance
  6. Monitoring of trucks movement with De Confliction to its final destinations.
  7. Act as a point of contact for SC/De Confliction and general operational queries requesting assistance where necessary.
  8. Follow up on any truck detention and follow up with WFP Security Unit for early release and track the trucks to its destination
  9. Ensure affective response at the onset of the crisis
  10. Be responsible for data integrity to facilitate availability of accurate information in corporate systems
  11. Be responsible to generate reports/prepare analyses for the information of management
  12. Identify discrepancies in statistics and data, such as missing information, and report to senior staff in order to expeditious SC/De Confliction
  13. Carefully Verify/revise information provided by Transporters and ensures that the information for the purpose of Security Clearance/De Confliction is correct
  14. Keep informed all Transporters on the status i.e. approval/denials
