The post reports to the Programme Specialist (Financial Services Unit) who establishes the objectives and provides general and technical guidance as and when needed. The incumbent, however, is expected to be able to work with minimal supervision. The incumbent of the post must exercise judgment and take the initiative to recommend and implement corrective action including proposing system enhancements.

Under the general supervision of the Programme Specialist (Financial Services Unit), the incumbent will

  • Set up and process Other Resources revenue from National Committees, private sector sources and locally raised Private Sector Fundraising (PSFR) revenue from country offices.
  • Be responsible for creating grants for programme implementation, and updating grants with changes in reporting and grant duration.
  • Be responsible for maintaining the monitoring system of Other Resources revenue, and to provide information to country offices, NatComs and HQ divisions as required.
  • Be responsible for contributing to projects that involve development and enhancement of systems of revenue remittance and work closely with the subject matter expert within the contribution management unit.

How can you make a difference:

  1. Contribution management of National Committees Other Resources revenue and other private sector sources, ensuring that funds are appropriately allocated to UNICEF Programmes.
  • Managing contributions submitted from NatComs and other private sector sources, once reconciled and reviewed.
  • Creating new grants and amending existing grants in SAP VISION and in Funds Management System (FRM).
  • Attaching all required documents to the grants.
  • Processing soft credit and in-kind contributions.
  • Managing timely allocation of contributions to meet monthly and year-end accounts closure.
  • Managing grants extension requests in SAP VISION and FRM for OR contributions from NatComs.

    2. Managing requests for support and information from internal and external stakeholders:

  • Responding to requests from National Committees, Country Offices, Headquarters units (i.e. PD, DFAM, PPD, etc.) and other PFP sections (i.e. Corporate and Foundation Fundraising, Fundraising Services, etc.) for information related to contribution management policies and procedures, including contributions and grant-specific issues.

     3. Contribution Management of Country office private sector revenue Managing locally raised Private Sector                             Fundraising (PSFR) revenue from Country Offices.

  • Monitoring communication with GSSC related to country office contributions and manage these contributions in the SAP.
  • Verifying the accuracy of the information provided and liaising with GSSC Contributions Unit to ensure that amounts registered in SAP VISION are correct.
  • Liaising with Country Offices to ensure that reporting requirements, background documents are provided and appropriately filed or safe guarded.
  • Creating new grants and amending existing grants in SAP VISION and attaching all required documents to the grants.
  • Processing soft credit and in-kind contributions.
  • Providing ongoing guidance and instructions on how to process PSFR funds to Country Offices.
  1. Contribution management of Expired grants.Annual closure of expired grants for National Committees and PSFR Country Offices.
  • Reviewing tables on remaining funds for expired grants.
  • Making grant changes using signed Note for the record (NFR) & Signed agreement from NatComs or Country Offices.
  • Preparing summary of fund reimbursed to donor, funds reprogrammed and funds reallocated to RR.
  • Informing COs and NatComs of new grants created form balances of expired grants.
  1. Other:
  • Performing other tasks as may be requested by the supervisor, including contributing to the team’s work in projects (e.g. testing of new procedures and transactions in FRM, VISION or changes to COGNOS and other systems).
  • Providing backup cover to other contribution unit team members as required.

To qualify as an advocate for every child you will have…

Education:

  • Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.
  • Training in the field of accounting, financial administration or related field is desirable.
  • An accounting certificate from an accredited institution is an asset.

Experience:

  • A minimum of 5 years’ relevant work experience is required, three of which should be in accounting, financial administration or related work with emphasis on computer application.
  • Proven ability to work with numbers and currency exchanges is essential.
  • Good knowledge of UN and /or UNICEF automated systems and software applications (SAP, COGNOS, Funds Remittance Management), is desirable.
  • Experience with the UN and/or UNICEF rules and regulations including finance systems (budget, contracts procedures) and structures is an asset.
  • Proficiency in the use of standard MS Office applications (Word, Excel and PowerPoint).

Language Requirements:

  • Fluency in English is required. Working knowledge of  French  is an asset.
