Under the supervision of the Logistics Officer, the Logistics Assistant provides a broad range of transactional, procedural and administrative tasks in support of the efficient logistics and warehousing operations of the country office, ensuring timely and efficient output that follows UNICEF rules and regulations.

UNICEF Malawi Country Programme (2019-2023) is aligned with the Government of Malawi’s Growth and Development Strategy (MDGS III) and the United Nations Development Assistance Framework (UNDAF). The programme supports the Government of Malawi to meet its commitment to respect, protect and fulfil children’s rights in line with international conventions and standards. The country programme is guided by the principles of children’s rights, equity, gender equality, inclusion and resilience, and supports evidence-based, integrative and innovative programming. The vision is that ‘all girls and boys in Malawi, especially the most disadvantaged and deprived, realize their rights’.  The programme focuses on: early childhood (parenting, high-impact social services, early stimulation and learning), middle childhood and adolescence (learning, multi-sectoral services, active citizenship), communities (decentralized services and systems, community ownership, social norms), programme effectiveness (monitoring, evaluation, HACT, Innovation, Social Protection and Social Policy and External Communication.  The programme is based on ‘leaving no child behind’, realizing ‘rights for all children in Malawi’.

  

How can you make a difference?

 

Under the supervision of the Logistics Officer, the Logistics Assistant provides a broad range of transactional, procedural and administrative tasks in support of the efficient logistics and warehousing operations of the country office, ensuring timely and efficient output that follows UNICEF rules and regulations.

Currently, the Malawi country office is operating under a matrix-management model, where individuals will have more than one reporting line. While this particular position is not currently “matrixed”, it is possible that this may change depending on programme needs.

Summary of key functions/accountabilities:

 

  1. Undertake all VISION related transactions related to logistics and warehouse operations.
  2. Coordinate with third party logistics provider (3PL) in all day to day warehouse and transportation requirements. Responsible for day to day follow up and monitoring of 3PL, with escalation to supervisor when Service Level Agreements (SLA) are not being met.
  3. Prepare all required paperwork and undertake required process for customs clearance of all goods into Malawi on behalf of UNICEF.
  4. Prepare transportation and warehouse reports on regularly basis and review data accuracy. Ensure transactions get completed within an approved time.
  5. Track and monitor status of offshore shipments, ensure import/duty-exemption documentation is done well in advance. Coordinate with focal programs on timely delivery of supplies to implementing partners/Warehouse.
  6. In consultation with the supervisor undertaken review and processing of all third-party logistics invoicing and advice on the status of secured funds available in contracts to support the CO.

 

To qualify as an advocate for every child you will have…

  • Completion of secondary school education is required, with courses/certifications in business administration, supply chain management, procurement or logistics considered as an advantage.
  • Minimum 6 years of progressively responsible logistics and warehousing experience is required.
  • Familiarity with UNICEF, UN supply procedures and systems is an asset.
  • Fluency in English is and local language of the duty station required. Knowledge of another official UN language is considered as an asset.
