Job Description

Background/IRC Summary:

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster.

The International Rescue Committee began relief operations in Jordan in 2007. Working together with six national and international organizations, and 19 community-based organizations, the IRC has provided 20,000 vulnerable Iraqi refugees with humanitarian assistance, mental health support and informal education. 

Job Overview/Summary: Under the supervision of the Administrative Manager, the Receptionist will support in the management of front desk operation as well as all activities related to receiving and directing visitors/guests, phone calls and courier at IRC premises in Amman in compliance with IRC policies, procedures, rules, and regulations.

Major Responsibilities:

  • Managing front desk/reception operations.
  • Welcoming, receiving and directing visitors/guests.
  • Answering and redirecting incoming calls/inquiries if needed and as appropriate.
  • Assisting in arranging conference calls.
  • Receiving, handing and routing correspondence/courier.
  • Managing postal box weekly collection and circulation.
  • Communicating a weekly report on of all visitors detailed log in coordination with the Safety and Security department as well as with the guard.
  • Assisting procurements for office supplies and other requirements.
  •  Assisting in inventory records for office supplies (stationery, cleaning and kitchen supplies, etc).
  • Performing all other ad-hoc duties, as and when assigned by supervisor.
  • Maintaining safe and clean reception area by complying with IRC procedures, rules, and regulations.

Qualifications

Education: diploma or secondary school education. University degree is preferred.

Work Experience: Minimum of 2 years of experience or the equivalent combination of education and professional experience as a receptionist or in customers’ care related field, preferably with an international NGO or multi-national firm.

Demonstrated Skills and Competencies: customer service oriented including telephone and face to face communications, punctual, honest, highly responsible, multi-tasker, excellent communication skills both verbally and in writing, well groomed.

Language Skills: very good in Arabic and English

Certificates or Licenses: Good knowledge in Microsoft Office
