Senior Operational Assistant

This is a full time position at grade 2/3

The term of this contract will be 4 years

The EIB offers fixed-term contracts of up to a maximum of 6 years, according to business needs,

with a possibility to convert to a permanent contract, subject to organisational requirements and individual performance.

Panel interviews are anticipated for mid May 2019

Purpose

As a Senior Operational Assistant you will provide day-to-day operational assistance to an organisational unit to support the achievement of its goals, through processing a range of specialised transactions linked to loan servicing operations.

Operating network

As Senior Operational Assistant you will have a hierarchical reporting line to the head of unit. You will also coordinate, supervise and intervene whenever requested in the execution of key processes in line with the unit’s procedures, ensuring overall quality of the unit’s output and compliance with risk management policy and Back-office management policies and processes.

Accountabilities

  • Allocate incoming loan re-payments to respective cashflows while ensuring adequate quality control. Carry out frequent investigations via various systems and tools related to incoming payments in order to identify purpose of funds, matching clients, contracts and cash flows.
  • Validate Settlement instructions prior to release of funds
  • Manage regular dissemination of payment and late payment reminders to clients and follow up with various other internal departments in cases of non or partial repayments
  • Handle internal and external queries and manage investigations related to all tasks handled by the unit
  • Interact with internal and external clients/counterparts to obtain and provide information, as well as exchange good practices
  • Participate in various administrative tasks of the unit including notably reporting of selected key figures
  • Ensure back-up of the essential activities of other colleagues in the unit during their absence to guarantee business continuity
  • Ensure conformity and follow-up on compliance issues and follow defined procedures in all related areas (e.g. refunding of overpayments: communication with relevant services of the Bank and updating of related documents and statistics)

Qualifications

  • Secondary level education, complemented with a 2-year certification in a relevant field (economics, accounting, legal, business administration, or secondary level education with equally qualified experience in a relevant field
  • Relevant University degree would be considered as an advantage
  • At least 5 years of relevant experience, ideally in back-office transaction settlement with focus on loan repayments and/or equity/fund administration
  • Knowledge in back-office related tasks and responsibilities
  • Good knowledge of the life cycle of a loan within the banking environment
  • Knowledge of accounting, finance and administration
  • Good working knowledge of standard tools including MS Office (notably Excel)
  • Good knowledge of the Bank’s standard financial IT tools (Finance Kit, Wallstreet Suite / PicTiers / Serapis) would be an advantage
  • Excellent knowledge of English and good command of French (*). Knowledge of other EU languages would be an advantage

(*) There may be certain flexibility on this requirement, but limited to particularly suitable candidates who may not yet be proficient in French.
