Mural Arts seeks a Development Associate. This individual is essential to the execution of day-to-day operations of the Development Department. The main areas of responsibility include database entry and maintenance, donor services, and departmental administrative tasks. Significant time will be devoted to data management and processing. They will also have opportunities to contribute to grant reporting, provide event support, develop relationships with donors, partners, and vendors, and be involved in other departmental activities.
This position is full-time and reports to the Manager of Development Operations.
Specific responsibilities:
- Accurately completes daily gift entry (cash and pledge) in donor database (Raiser’s Edge) within established department workflow and in support of financial compliance protocols.
- Accurately prepares and distributes donor correspondence including acknowledgment letters with tax receipts, and notification of tribute/memorial gifts, per established department timeline. Coordinates appropriate personalization on correspondence.
- Assists Manager of Development Operations with Board related tasks including meeting materials preparation, board correspondence, and other tasks as assigned.
- Assists with the creation of sponsorship packets and contributes to grants reporting.
- Assists with routine and special appeal mailings through coordinating stuffing, delivery, and recording segmentation in the donor database.
- Generates pledge reminders. Coordinates past due gift receivables.
- Provides back-up for Raiser’s Edge/Financial Edge posting and reconciliation processing.
- Supports the coordination of benefits fulfillment for annual campaign giving levels and special campaigns. Ensures accurate and appropriate donor recognition.
- Processes and fulfills compliance for matching gifts, United Way gifts, crowdsource and social media fundraisers, and family foundation gifts.
- Processes Development event registrations, ticket sales, and RSVPs. Makes any necessary updates and corrections to event registration sales and attendee reports through regular reconciliation process. Runs event reports for Development event coordinator. Attends development events as needed.
- Maintains the integrity of all donor data across individual, corporate, foundation, and government donors. Activities include accurately creating new donor and prospect records, updating address and other contact information, and identifying and recording contact relationships. Works closely with Manager of Development Operations to ensure data health and integrity.
- Implements the document management procedures for the department, including hard copy and digital files. Scans and stores original gift documentation.
- Responds to list/data requests by using information request form to interview requestor, jointly identifying search parameters and final output. Creates queries and simple reports for mailings or data analysis based on requests.
- Helps other department staff prepare for meetings; acts as note-taker on occasion.
- Properly codes expenses for monthly departmental credit card reconciliation and tracks expenses against budget.
- Coordinates office tidiness and ensures supplies are well-stocked and accessible.
- Acts as representative of the department and Mural Arts at meetings, events, through answering phones, and responding to email inquiries in a friendly, well-informed, and professional manner.
- Conducts prospect research and maintains a high degree of confidentiality concerning any materials or information relating to donor records.
