Administrative Assistant
The International Potato Center (CIP) is seeking one Administrative Assistant to support the operations team at CIP’s Center for China and Asia- Pacific (CCCAP) office. About the role
This positionwill be based in CCCAP Downtownoffice at Haidian District,Beijing and will report to the CCCAP Communication and Administrative Specialist. This position requires the ideal candidate to work in CCCAP 40 hours per week based on the tasks assigned by the operation team. Key responsibilities:
- Prepare travel request, book hotels, train tickets and air tickets;
- Prepare the travel liquidation for CCCAP personnel that has traveled;
- Manage and track the records of financial vouchers with the Finance Specialist, scan and keep the bank receipts in file;
- Providesupport bytaking careofthepoliceregistrationforCCCAP’s internationalvisitors;
- Support the external communication of any upcoming event where CCCAP participates;
- Draft the invitation letters for the international visitors and assist in their visa application process;
- Contribute to CCCAP’s procurement process, including price quotation and comparison search;
- Manage schedules, organize and prepare relevant briefings or background material for meetings;
- Lead and accomplish all other tasks assigned by CCCAP’s operations team.
What we are looking for?
The ideal candidate should have the following skills, knowledge, experience and personal characteristics:
- Bachelor’s degree in Business Administration or related studies;
- At least 1 year of experience required in similar positions in Administration or General Services department;
- Excellent written and oral communication skills in Chinese and English are required;
- Proficiency in Word, Outlook, Excel and PowerPoint;
- Abilitytoworkandthriveunderhighworkdemands,highpressuretomeettightdeadlines, and able to manage his/her time effectively;
- Abilitytodealeffectivelywithcomplexsituationsanddemands,withinternalandexternal contacts at all levels;
- Good judgment, diplomacy and tactfulness are essential traits for this position;
- The successful candidate will be required to show absolute discretion in handling confidential and sensitive information; Proven ability to work in a multicultural environment as a proactive team player while carrying out multiple tasks on daily basis with a positive attitude;
- Good sense of customer service.
