Key Responsibilities

Under the direct supervision of the Manager, Budget Office, the Budget Assistant, Grants will provide support budgetary assistance to grant activities.

More specifically, the Budget Assistant, Grants will:

  • Assist the Budget Office with financial management of grants:

o   Draft financial reports for donors and ensure reconciliation with the accounting records

o   Prepare cost transfer requests for review and approval

o   Collect data and documentation to support the preparation of financial reports

o   Prepare supporting documentation for financial report submissions and audits

o   Coordinate the signature process of financial reports

  • Assist the Budget Office with partner financial reporting and clearance processes:

o   Review the partner financial reports and ensure that the financial reporting checklist is complete; detect and report issues

o   Review the transaction list provided by the partner and ensure it matches with the financial report

o   Review supporting evidence provided by the partner and take the necessary actions as needed

  • Assist the Budget Office with grant opening and data management in our Enterprise Resource Planning (ERP) system:

o   Prepare the grant opening template for the Enterprise Resource Planning (ERP) system opening process

o   Prepare budget uploads in a timely manner to ensure budgets in the Enterprise Resource Planning (ERP) system are up to date

  • Perform other tasks as required
 

 

Requirements

Qualifications and competencies 

Essential qualifications & competencies

 
  • Secondary school education supplemented by office training or courses in accounting/finance
  • Minimum of 3 years of relevant experience
  • Proficiency in relevant software packages (Microsoft Office Suite)
  • Knowledge of or experience with financial management softwares
  • Excellent command of the English language, both written and spoken
  • Strong interpersonal, communications and teamwork skills; courtesy and tact, and the ability to establish and maintain effective working relationships with people of different cultural and national backgrounds
  • Well developed skills in personal organization and priority setting, problem solving and accuracy
  • Strong client orientation and service approach
  • Sound judgment and initiative; ability to work independently within the assigned area
 
Desirable qualifications & competencies
 
  • University Degree or equivalent in a relevant field
  • Work experience in an international environment
  • Work experience with Enterprise Resource Planning (ERP) system
  • Working knowledge of other languages

 

Benefits

Terms and conditions: This is a temporary support position. The salary is level 3, in a scale of 8 levels, with level 8 being the highest. The monthly salary is Euro 2,646. The contract will be for a period of 11 months.
