JOB PURPOSE

 

At WFP Regional Bureau in Cairo, we provide strategic and technical guidance to WFP operations in 17 countries: Algeria, Armenia, Egypt, Iran, Iraq, Jordan, Kyrgyzstan, Morocco, Lebanon, Libya, Palestine, Syria, Sudan, Tajikistan, Tunisia, Turkey, and Yemen.


We are looking for an enthusiastic, committed Business Support Associate/Executive Assistant who is keen to work for a dynamic international organization with a strong mandate. You will be handling a wide range of administrative and executive support-related tasks for the Deputy Regional Director of the WFP regional office. The person should have excellent oral and written English and have demonstrated affinity with working in an international context. If you are a self-starter, organized, and enjoy administrative challenges to ensure services are delivered effectively and with high quality standards, you may be the person we are looking for. 

STANDARD MINIMUM QUALIFICATIONS

 

Education: 

University degree in Business/Public Administration, Commerce, Management or any related field.


Experience:

Six or more years of progressively responsible work experience in an executive staff office with experience in general management work.


Knowledge & Skills:

  • Specialized knowledge of the application of common business processes, practical business support methods, procedures and systems used in the area of work, gained through technical training and work experience.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to proactively identify and recommend areas for improvement to the design and delivery of specialized services. 
  • Ability to build relationships with a variety of individuals across functions.
  • Experience in coordinating the work of others and self and training and supporting others.
  • Excellent writing/editing skills
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

 

Language:

Fluency in both oral and written communication English & Arabic 
 

KEY ACCOUNTABILITIES (not all-inclusive)

 

  1. Provide dedicated Executive Assistant support for the Deputy Regional Director (Maintain executive’s agenda, assist in planning appointments, and handle travel arrangements)
  2. Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
  3. Actively seek and use feedback to improve business processes and procedures.
  4. Respond to complex business support queries in order to provide a timely and accurate resolution of inquiries for clients.
  5. Oversee the maintenance of records to ensure information is organized, readily available and compliant with all relevant policies.
  6. Review documentation, providing feedback and making amendments, to contribute to the production of these materials to time and quality standards.
  7. Provide a full range of complex business support services to management to contribute to the effective functioning of business operations. 
  8. Coordinate tasks of junior colleagues to ensure executive support services are delivered consistently and to the required standards.
  9. Support other senior management staff on other tasks as needed
