As a member of the Communications & Institutional Relations Unit, the Events Officer will report directly to the Head of Communications and Institutional Relations and will be responsible for coordinating the provision of organisational, technical and logistical support for events held by IMI.

Tasks:

The Events Officer will carry out, in the context of the IMI Annual Work Programme, the following main tasks:

  • Managing the organisation and promotion of IMI’s annual Stakeholder Forum (around 400 participants);
  • Managing the organisation and promotion of events such as conferences, info days and workshops to increase IMI’s visibility and stakeholder outreach;
  • Managing relations with contractors (quotes, commercial negotiations, invoicing, quality check);
  • Coordinating IMI’s pool of speakers and centralising requests for info sessions on IMI;
  • Organising webinars;
  • Contributing to the development of IMI’s contact databases;
  • Giving presentations on the activities of the JU at external events;
  • Ensuring that the data that stems from IMI business processes is of a high quality;
  • Managing the “events” mailbox;
  • Developing sets of slides and presentations on IMI;
  • Providing content on IMI events for corporate social media channels and the IMI website;
  • Drafting notes, letters, statistics and any other type of material relating to the unit’s activities;
  • Contributing to the sound financial and administrative management of the unit;
  • -Contributing to the work of the communications team, as required.

The successful candidate might undertake other tasks and activities as necessary under the responsibility of the Head of Communications and Institutional Relations as tasks may evolve according to the development of IMI’s structure or activities.

In order to be eligible, the candidate must have:

  • At least 3 years of professional experience in the organisation of events (e.g. stakeholder forums, workshops, seminars or conferences), in particular in a multicultural and multi-disciplinary environment, dealing with a broad range of stakeholders;
  • Experience of liaising with service providers;
  • Fluent written and spoken English (native or near-native level);
  • Hands-on experience with website managemement;
  • Strong project management skills related to communication;
  • Excellent communication skills, including some knowledge of digital communications (e.g LinkedIn, Twitter, etc);
  • Experience of budgetary and financial management.
