Organizational Setting



The Regional Office for RAP is responsible for leading FAO's response to regional priorities for food security, agriculture and rural development through the identification, planning and implementation of FAO's priority activities in the region. It ensures a multidisciplinary approach to programmes, identifies priority areas of action for the Organization in the Region and, in collaboration with departments and divisions at Headquarters, develops, promotes and oversees FAO's strategic response to regional priorities. RAP also advises on the incorporation of regional priorities into the Organization's Programme of Work and Budget and implements approved programmes and projects in the region, monitors the level of programme implementation and draws attention to problems and deficiencies. RAP develops and maintains relations with region-wide institutions including the Regional Economic Integration Organizations (REIOs). The Regional Office supports regional policy dialogue on food security, agriculture and rural development issues, facilitates the emergence of regional partnerships, and supports capacity development and resource mobilization for food security, agriculture and rural development in the region.


Main Purpose


The Maintenance and Logistics Assistant performs a variety of routine support activities, assessing and organizing civil maintenance work and furnishings of office- and meeting space.


Supervision Received/Exercised


The Maintenance and Logistics Assistant works under the direct supervision of the Chief, Administrative Support Unit. He/she acts independently in routine matters and consults with supervisor(s) on new and/or complex issues and procedures.


Working Relationships


The Maintenance and Logistics Assistant engages with client staff within the Organization and with external partners and suppliers to follow up on orders, crafts and projects (contacts to be revised if necessary).



Key Functions/Results

  • Assist in buildings inspections and in arranging for necessary ordinary and preventive maintenance; assist in performing tests to check the various components of the buidlings structure; take on-site measurements to prepare specifications for orders and work plans; assist in preparing cost estimates;
  • Inspect work sites to assess progress by means of simple project management tools; check adherence to cost- and time estimates on completion of works and report work progress on a routine and systematic basis;
  • Complete the civil contractors technical compliance and safety documentation; ensure the validity of contractor and subcontractor certifications according to FAO's safety plans; inspect work sites and asses that required safety conditions are adhered to;
  • Initiate purchase requisitions for the acquisition of materials and spare parts; fill standard work order forms to start service orders;
  • Assist in record keeping of all items purchased, received and collected in storerooms;
  • Assist in logistics for furnishing and setting of offices, meeting rooms and other areas during meetings or official receptions; assist in the preparation of exhibits;
  • Inspect furniture and equipment returned to stock for detection of defects and take necessary action for repair or disposal, in compliance with FAO administrative regulations;
  • Receive items sent to and returned from the Organization's contracted laundry service and monitor its performance; check delivery notes and monthly invoices, reporting discrepancies;
  • Respond to routine telephone or e-mail inquiries from staff members; site visit offices to assess user's needs, verify space and safety/ ergonomic standards to be respected;
  • Perform other related duties as required.

The incumbent participates as part of a team in the provision of administrative maintenance and logistics support services. Actions reflect on the immediate and wider work unit.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

Education\: Secondary School Education

Work Experience and Knowledge\: Two years of civil work experience in construction and maintenance of large size office/residential buildings

Languages\: Working knowledge (level C) of English

IT Skills\: Ability to use standard MS Office applications, Internet and office technology equipment

Desirable Qualifications And Skills

  • Working knowledge of Thai will be considered an advantage.
  • Knowledge of country norms and Thai building codes
