Under the direct supervision of the Motor Transport Officer (MTO) the UN Volunteer will undertake the following tasks:
- Act as the focal point at the Transport reception, provide client support and advise on service and maintenance procedures.
- Coordinate under the supervisor a team of national technicians to support client needs, including vehicle check in and out procedures and creation of service orders.
- Create daily UMOJA service requests, ensure the processing of all orders and the timely closing; analyses the UMOJA system for uncompleted service actions.
- Receive and answer client call, makes recommendations and keeps clients informed of developments.
- Inform the TPT business management unit of external services provided under MOU for timely processing of billing.
- Respond appropriately to recovery requests and activates necessary action to assist clients and recovers UNOE, coordinate with OIC workshop and dispatches the duty mechanic.
- Create and updates the daily attendance and activity reports; extracts workshop related statistic reports from BI module.
- Work in close collaboration with the unit supervisors and the service staff in the production units and in line management with quality control (QC) to gain accurate information of work progress.
- Interact with various clients (Civilian, Military and UN Police) at the reception, acts as buffer between clients and workshop staff and remains calm in stressful situations.
- Dispatch the received jobs to service staff and advises of priority requests.
- Ensure vehicle condition is matching the damage reports, identifies unreported damages.
- Be familiar with the Transport section rules and regulations related to UNOE, has awareness of the procedures pertaining to fleet maintenance.
- Has good working knowledge of MS office applications and standard software programs, adapt to the UN UMOJA system and other internal used computer programs.
- Provide assistant and advise to the field MTO’s as feasible.
- Ensure that professional occupational safety and health is exercised at the workplace.
- Keep accident reports confidential, maintains a filing system for office documents and hard copy work orders in good chronological condition for audit trail.
- Ensure control over client vehicles at the reception and keeps keys locked away from public access.
- Perform periodic stand by roster duty.
- Perform other related duties as identified by the supervisor.
- Diploma or technical qualifications in transport and logistics is required.
- Specialization in fleet management is an added advantage.
At least three (3) years of relevant work experience in Motor Vheicle, logistics role in a transportation or related area is required.
Language skills- English(Mandatory), Level - Fluent
- Solid computer skills, including full proficiency in various MS Office applications (Excel, Word etc.) and other IT applications and office technology equipment.
- Exceptional analytical abilities and organizational skills.
- Detail-oriented and good at problem solving as well as possess outstanding interpersonal skills.
- Have affinity with or interest in humanitarian relief, post-conflict situations, volunteerism as a mechanism for durable development, and the UN System.
- Sound security awareness.
