BACKGROUND

Gavi, the Vaccine Alliance is looking for a service-oriented, resourceful Senior Assistant, Recruitment to join its team in Geneva. The successful candidate will partner closely with all hiring managers and candidates, supporting them from end to end in their recruitment journey. He/She will also be responsible for managing the internship programmes and working closely with all intern applicants and the related universities.

Gavi’s HR team drives Gavi’s people agenda to support the organisation’s strategy and to build a high-performing, motivated and engaged workforce. It is organised into four areas: Recruitment: sourcing talent with key critical skills for Gavi; HR Business Partnering: focusing on longer-term strategic business needs, talent development and employee engagement; HR Services: offering effective operational services and advising on HR policy and procedures; HR Legal & Policy: providing advice on HR matters having legal employee relations & developing HR policies and processes.
Recruitment:
  • Provide administrative support for each stage of the recruitment process for all positions, including publications of roles, administration of online video screenings and written tests, and scheduling panel interviews and final interviews;
  • Respond to hiring manager and candidate inquiries in a timely manner;
  • Coordinate all entry-visa documentation for candidates as required;
  • Handle all candidate reimbursements related to interview expenses;
  • Prepare regular reports and data analytics showing progress against key recruitment performance indicators including diversity;
  • Assist with other HR recruitment projects as needed.

As needed on an ad hoc basis:
  • Manage end to end recruitment for positions (typically career steps 1/2/3).

Internship Programme:
  • Manage the Gavi internship programme, providing a positive experience to both interns and hiring managers;
  • Work closely with hiring managers to understand the profile needed for an intern and keep them updated throughout the recruitment process;
  • Manage all communication with interns from the application stage to the end of their internship to provide a positive learning experience;
  • Build a strong working relationship with various universities to identify talented interns for the Programme;
  • Process all necessary documentation for recruitment of interns, including any visa-related issues;
  • Keep internship policies updated and ensure that they are fairly and consistently applied;
  • Ensure diversity of hiring within the internship programme.

  • A minimum of 3 years experience in recruitment, recruitment administration and/or other areas of human resources;
  • Experience of using an Applicant Tracking System and/or HR information system;
  • Work experience within public and private sector is an asset.
  • Excellent interpersonal skills and ability to build relationships;
  • Ability to manage a process from start to end;
  • Ability to prioritise and organise work effectively;
  • Outstanding attention to detail;
  • Can-do attitude and good problem-solving skills;
  • Good analytical skills and writing skills;
  • Conversant with technology: excellent Word, Excel, PowerPoint, Outlook and other Microsoft Office programme skills.
  • Written and spoken fluency in English;
  • Fluency in French is an asset.
  • University degree, ideally in HR or business but open to other candidates with an interest in these terms of reference.
