THE ROLE
This role will provide strategic level support to the Managing Director, Office of the COVAX facility, and lead COVAX Facility related operations within the Secretariat.
KEY FUNCTIONS AND DELIVERABLES
- Providing advice and supporting the MD’s engagement with Secretariat and external teams such as the COVAX Pillar forum and ensuring timely follow-ups;
- Supporting key leadership bodies and processes, including the COVAX leadership team;
- Analytical and content support to new strategies and processes;
- Prepare and review briefings, presentations and other materials for governance committees, Board and external engagement;
- Leading MD-led projects and workstreams internally and externally;
- External representation as MD delegate.
Work with Managing Director to:
Work Experience- Provide timely, efficient, effective, high-quality support to MD, including qualitative and quantitative research and analysis;
- Manage politically sensitive and confidential matters across the COVAX Facility (finance, deal making, organisational and external stakeholder-related) and information with discretion and maturity;
- Coordinate accurate, strategic, evidence-based, and high-quality communications by the MD to governance committees, Board, at external engagements, and other important fora;
- Coordinate alignment between the MD, members of the COVAX leadership team and other internal and external stakeholders to enhance the leadership of the MD;
- Plan and coordinate weekly COVAX leadership team meetings, including setting agendas, coordinating alignment with other secretariat processes, and act as secretary to the COVAX leadership team;
- Support internal communications including planning for staff meetings;
- Ensure robust cross-Secretariat and cross-COVAX Pillar alignment, including through contributing to improving operational processes, risk mitigation and knowledge management;
- Building trusting relationships with alliance partners to include primarily technical partners (WHO, UNICEF), financial advisors and other key constituency representatives;
- Represent Gavi in external fora as directed, including and not limited to panel discussions and events;
- Coordination of the budgeting and staffing planning for the Office of the COVAX Facility in close collaboration with Finance and HR, including the integration of the COVAX Facility within Gavi;
- Conduct special projects with a cross-functional view, and additional duties, including supporting other senior members of COVAX Facility team as required.
- Minimum of 8 years of progressive professional experience, with a minimum of 3 years’ experience of managing multiple projects as well as complex and sensitive issues within a fast-moving environment;
- Proven track record of strategic analysis of investments and project management, including for decision-making by senior management and at Board level;
- Experience in the development of strategic and policy directions and design;
- Extensive experience of preparing communication materials, including speeches, presentations, and written communications;
- Demonstrated knowledge of how to influence stakeholders and manage stakeholder engagement in a mature and solutions-oriented manner;
- Extensive experience of engaging with senior and executive management and senior level stakeholders;
- Demonstrated ability to work behind the scenes with discretion and in a supportive role;
- Experience working in an international cross-cultural environment;
- Experience in the development field, global health and immunisation (desirable); scientific literacy would also be desirable;
- Experience working in an environment that is politically sensitive and highly visible;
- Experience of working within a global multi-cultural environment.
- Excellent analytical, quantitative and conceptual thinking and demonstrated problem-solving skills;
- Distinctive written and oral communication skills in English, including ability to structure and synthesise complex issues;
- Exceptional hands-on management style and the ability to address and resolve issues efficiently, and deliver results;

- Competence with digital tools and ability to work quickly and accurately with them;

- Understanding of graphical design and ability to develop compelling presentations an asset;
- Willingness to travel (approx. 20-30%) and work under bursts of high pressure;
- Outstanding judgment, political astuteness and ability to be discrete;
- A positive, can-do attitude and a sense of humour.
- Fluency in written and spoken English;
- Fluency in French highly desirable;
- Knowledge of additional languages an asset.
- University degree in business or public administration, global health, development or a related field;
- Advanced degree in business, science, global health or development an asset.
