Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organization. We work to reduce violence and protect civilians in countries affected by violent conflict and its aftermath through the implementation of unarmed civilian protection prog ramming. NP implements programming through the deployment of civilian protection teams to the field and is continuing to scale up to meet the growing needs in the communities we serve. Programming is founded on unarmed civilian protection and is thematically focused on protection in displacement, child protection, gender-based violence protection and inter-communal violence reduction. 



JOB PURPOSE

The HR/Admin Assistant (HRA) is responsible for supporting the HR and administrative function of Nonviolent Peaceforce Iraq’s (NPI) operational programme. The HRA supports the operational team and all staff in the Iraq Country Programme. The HRA is the in-country HR focal point ensures staff are in compliance with policies and procedures. The HRA also provides other support services as required (e.g. finance, logistics and government administrative relations).   


KEY OBJECTIVES/RESPONSIBILITIES


  • Demonstrate a commitment to NP’s mandate and principles
  • Maintain a positive image of the organization full time while communicating with external actors, staff or operating in the field.
  • Assist with the implementation of the support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Assist the Administrative Officer in day to day in Erbil office. .
  • Ensure personnel files are complete and assure adherence to highest level of confidentiality.  
  • Track staff contracts and performance management timeline.
  • Ensure timely submission of monthly timesheets.
  • Assist with annual leave and R&R planning.
  • Make regular visits to field teams to provide on-site HR support.
  • Assist Operations Department in registration, work permit, travel, visa and residency requirements for expat staff and visitors as required.
  • Liaise with lawyers to assist with visa and residency procedures for expat staff and visitors as required
  • Any other task as reasonably requested by line manager.
  • Promote and share ideas for improvement of the support function

QUALIFICATIONS AND COMPETENCIES

  • Minimum 1-year experience in working as a Support Function Officer in a humanitarian/recovery context
  • Previous experience from working in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Bachelor or Diploma degree in Business Management or a relevant field

  • Possession of independent Judgment/Analytical skills

  • Ability to communicate effectively with individuals and work within a team
  • Solutions focused, creative problem solver
  • Ability to adjust to difficult and sometimes insecure working circumstances
  • Knowledge of Kurdish and Arabic and English (preferable)
  • Proficiency in Microsoft Office, especially Word, Excel and Outlook email
