Context:

The ICRC Regional Delegation in Budapest is announcing a vacant full-time resident position of “Premises Maintenance Officer” based in Budapest.

This role will be mainly responsible for dealing with ICRC premises and infrastructure. S/he ensures as well proper maintenance of ICRC premises and equipment. S/he will ensure that the premises setup is in line with the needs by renting apartments, taking care of the relation with the landlord, organising the maintenance, the cleaning and the attribution of the premises.

Main responsibilities:

  • Participates in determining accommodation and office-space needs and identifies premises accordingly.
  • Analyses premises' set-up, including passive security measures, and proposes corrective measures when necessary according to ICRC standard
  • Participates in drawing up lease agreements.
  • Coordinates effective maintenance of all premises and infrastructure.
  • Supervises the overall department dealing with premises and infrastructure; trains and supervises the housing staff (if any) and organizes their daily work.
  • Support to drawing up housing policy.
  • Deals with external interlocutors, service providers and suppliers; coordinates external maintenance work.
  • Supervises and controls premises and maintenance related expenses and service costs.
  • Supervises the ordering or purchasing of necessary material and supplies, in coordination with logistics staff, and maintains related stocks.
  • Keeps proper related files and statistics.
  • Housing staff supervisor and/or coordinating service provider in charge of cleaning
  • Performs cashier related duties on a daily basis
  • Receptionist responsibilities, answering phone calls and dispatching mail etc.
  • Arranges pick up and accommodation for staff and guests.
  • Assists in arranging travel by plane, train, bus etc for all staff that needs to travel.

 

Requirements:

  • University degree
  • 2-3 years' experience in a similar position.
  • Good knowledge of spoken and written English and Hungarian.
  • Sound knowledge of computers and ability to run specific software.
  • Has the technical skills necessary to do the job.
