Background

The data clerk will work closely with the data manager for the VPD surveillance to enter all data required for VPD surveillance and provide support to VPD /polio surveillance team through accurate management and entry of information on VPD. The data clerk will ensure sustainability of the work through supervision by the data MANGER including adequate training and orientation on the WHO software used in VPD surveillance. Will be directly supervised by the data manager

Objective no. 1: To assist the data manager manage all Vaccine Preventable Disease (VPDs) surveillance, Supplementary Immunization Activities (SIAs), Expanded Program on Immunization data (EPI) with the following tasks:

  • Cleaning handwritten reports for errors including entering data from handwritten reports/case investigation forms/surveillance tools and generating output reports.
  • Monitor Zero Dose Cases and provide timely and regular feedback to all levels
  • Update the current Zero reporting/Surveillance focal sites reporting tools for Acute Flaccid Paralysis (AFP)/Vaccine Preventable Disease (VPD) Surveillance.
  • Assist in the review, analysis, and feedback on AFP/VPD Surveillance at the National and State levels
  • Update the available reporting system/data base on AFP, Measles and VPD
  • Prepares source data for computer entry by compiling and sorting information and establishing entry priorities.
  • Review & Organize Data on SIA’s for easy reference and use in the future.
  • Regularly review, analyze and provide timely feedback of EPI/VPD Data at all levels (National, State, and county).
  • Regularly monitor the Open Data Kit (ODK) platform, regularly perform analysis as required.
  • Maintain and up-date filing of all data pertaining to disease surveillance which includes AFP, Measles, Rota virus and Case Verification.
  • Run Data Quality Checks and provide feedback of EPI/VPD Surveillance and SIA data (Follow up with States to track and acquire missing/incomplete data, identify incoherent data and notify relevant levels accordingly.

Objective No. 2: To monitor and track Polio, Measles and Rota Virus Laboratories results at all levels captured and updated

Planned output:

  • Track sample shipment from states to the central/national hub.
  • Update the relevant databases with results received from Laboratory feedback and ensure that results are communicated to the states and partners in a timely fashion.
  • Prepare Alerts for Detailed Case Investigation Forms and cases due for sixty days follow-up and ensure timely Submission to relevant levels.
  • Processes field level documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or consulting field staff for incomplete documents for resolution.
  • Verifies entered program data by reviewing, correcting, deleting, or reentering data; combining data from multiple source (ODK, DCI, 60 days follow up and other sources as required.
  • Other activities as requested by the first land second level supervisor

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary education supplemented by training and/or experience in Biostatistics, Statistics, IT, Computer Science, Demography or other related field

Desirable: University Degree/Diploma in Health Information Systems, Biostatistics, Statistics, IT, Computer Science, Demography or other related field

Experience

Essential: At least 3 years of practical experience in administrative/clerical data processing and management

Desirable: Working experience in the UN system or any non-governmental international humanitarian organization

Knowledge and Skills

Computer literate with good knowledge of; Epinfo, Microsoft office suit, open data kit, DHIS2 and other Web based applications/ information systems
