The mission of the Green Climate Fund is to assist developing countries to respond to climate change while bringing prosperity to their people. Established in 2010, the GCF invests in transformational climate projects in the developing world. The Fund makes an ambitious contribution to global climate action and channels significant financial resources into developing countries to help build low-emission and climate-resilient societies.  It is country-driven and undertakes actions that reflect the circumstances of each country concerned and its national aspirations. The GCF is a key enabler of the 2015 Paris Agreement on Climate Change. Since its establishment, the GCF has approved 200 projects in 141 countries and has committed USD 10 billion in climate finance. In addition, it has built up an extensive program to support developing countries to identify their needs, in particular, those who are most vulnerable to climate change impacts. Position Objective

The Senior Team Assistant reports to the Head of the Office and provides support to the Head to allow them to fully function in their role. The incumbent is responsible for timely execution of HR and administrative transactions and supports the Office for practical delivery of core work, internal/external processes.

 

Duties and responsibilities

Purpose

  • Assure constant support to the Office’s management by ensuring that general administrative, human resources, budget, audit, and procurement related support is provided to the Office on a timely manner and serve as the Office’s focal point (in communication with other Offices) as deemed necessary.

  • Oversee and contribute where applicable to office managerial processes to ensure efficiency, quality assurance, effectiveness, adaptability, and innovation of the Office’s output in alignment with the Head’s vision at the administrative level, working closely with the Head and Senior Staff of the Office.

  • Ensure consistent quality across a range of deliverables through thorough planning and coordination of the publication process for board meetings for successful and timely delivery of board documents.

 

Engagement

  • Coordinate internal and external communications of the team, ensuring timely dissemination of information to all, including reporting of KPIs, correspondence, audit, etc.

  • Lead preparation and logistical planning for events (e.g. conferences, workshops, training sessions, other formal and informal meetings).

  • Identify and recommend key areas for the Head’s attention for his/her managerial role, then communicate messages on behalf of the Head to the team and cross-divisionally for internal flow of information; and

  • Train new staff on organizational processes for proper socialization and exemplify high professional standards when communicating with internal and external contacts, for in-person, oral, or written interaction.

 

Delivery

  • Provide support to Learning &Development, Recruitment, Compensation &Benefit, and/or Wellbeing programs and processes as needed;

  • Consolidate data and draft, analyse and research key documents and reports proposals relevant to internal policies, including procedures, guidelines and Board-related documents. This may include background research, collecting and analyzing data, as well as supporting Board Committees.

  • Develop guidelines or manuals for administration-related matters and centrally manages official records files and information materials.

  • Prepare the relevant purchase requests for the different activities and initiatives for the team.

  • Process payments for the various HR suppliers on time.

 

Required experience and qualifications*

  • Bachelor’s degree, with at least seven (7) years of relevant experience or equivalent combination of relevant education and experience; or Master's degree, with at least five (5) years of relevant experience;

  • Experience in handling logistics for events, workshops, conferences and Board meetings;

  • At least two (2) years of experience in Human Resources and in a similar office setting preferred; Previous experience supporting larger teams is required;

  • Formal training in secretarial, clerical, administrative, and/or operational services desirable;

  • Good knowledge of office technology such as MS office package, and experience in working with databases is highly desirable; and

  • Excellent written and oral communication skills in English are essential for this position; knowledge of Korean and another UN language is an advantage.
