The Administrative Assistant will provide administrative support to Directors, Heads of Units and/or to operational teams. The main tasks of an Administrative Assistant will include the following:
• Providing general administrative, technical and organisational support (e.g. meetings/events, facilities, travel management, library services, translations, working groups) in cooperation with internal and external stakeholders;
• Supporting financial processes (e.g. budget planning, monitoring and reporting, financial documentation, contract management, reimbursements, invoices);
• Supporting human resources processes (e.g. organising training, coordinating selection processes, drafting employment offers and contracts, assisting in leave and absence management, etc.)
• Drafting, editing and finalising documents;
• Managing incoming and outgoing customer communications;
• Managing and updating files in document management systems/databases;
• Supporting processes and workflows, and planning, reporting and monitoring activities;
• Contributing to process development and improvement;
• Contributing to IT system development (e.g. testing, training, documentation);
• Any other tasks as requested.
