OVERVIEW OF THE FUNCTIONS OF THE POST

 

This HR Assistant position is located in the Management Support and Coordination Unit (MSC) in the Bureau of Human Resources Management (HRM).

 

The incumbent will carry out a wide range of Human Resources support and administrative tasks and will primarily assist the Head of Unit in preparing, drafting and processing a variety of correspondence and communications including, but not limited to, the following:   
    
General office support

  • Assists in the preparation of replies to official requests, summary reports, briefing notes, memos, presentations for the Director, HRM.  
  • Organizes and compiles background information/reference materials from various sources for briefings, workplans, governing body decisions and documents; carries out quality control for outgoing documents by proofreading and editing texts for adherence for format, grammar, punctuation and style. 
  • Ensures an efficient information/correspondence flow within the unit; maintains calendar/schedules; monitors deadlines and follow-up actions of the Unit and assists with the monitoring of HRM staffing and budgets including regular updating of the HRM organizational chart. Maintains files (both paper and electronic) and databases for the work unit.   
  • Prepares and processes contracts; provides administrative and logistics support for HRM meetings, retreats and events including contact and follow-up with suppliers, if required.  Participates and assists in team projects/activities.  

 

HR communications support

  • Coordinates, prepares and schedules the monthly HR newsletter; seeks input and contributions from the communication focal points in HRM Sections/Units.  
  • Prepares and posts articles, events and content to the HRM websites; provides technical support to the HRM Sections/Units on their dedicated webpages, communication campaigns and information messages. 
  • Assists and contributes to the development of communications guidelines/toolkit for HRM staff in line with the UNESCO Communication Strategy.

Education

  • Completed secondary, technical and/or vocational education.


Work Experience

  • A minimum of three (3) years of work experience in the field of human resources, administration, communications and/or related areas.

 

Skills and competencies

  • Service-oriented and ability to deal efficiently and tactfully with people of different cultural backgrounds.
  • Utmost discretion, integrity, tact and diplomacy.
  • Attention to detail and meticulousness.
  • Judgment and ability to work autonomously.
  • Ability to take initiatives and provide quality and timely support services.

  • Good knowledge of IT & communication tools with full proficiency in the use of MS Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams etc.).  

 

Languages

  • Excellent knowledge of English or French and good knowledge of the other language.
DESIRABLE QUALIFICATIONS

 

Work experience

  • Relevant experience in the UN System or other international organizations.
  • Experience with social media and web-site content. 
  • Experience in using database/Human Resources information management systems.  

 

Skills and competencies

  • Good knowledge of UNESCO’s staff regulations and rules, administrative procedures and HR practices.
