The OECD Environment Directorate (ENV), in line with the strategic objectives of the Secretary‑General, provides relevant and timely information, analysis and advice to support governments in identifying and implementing the environmental policies needed to support a cleaner, more resource-efficient and low-carbon future. The Directorate works across a broad range of issues such as\: climate change, biodiversity, water, eco-innovation, resource productivity and waste, environmental policy tools and evaluation, safety of chemicals, biotechnology and nanomaterials, and linkages between environment and tax, agriculture, energy, transport, development assistance, trade and investment policies. The Directorate also provides significant input and support to international efforts on climate (the UNFCCC), biodiversity (the CBD), water (the triennial World Water Forum) as well as providing inputs to G20 and G7 priorities.
The Environment Directorate is looking for several assistants to carry out a wide range of secretarial and administrative duties critical to the effective functioning of the divisions. The selected candidates will work in close collaboration with the other assistants of the Directorate and will be managed and supported by the Senior Resource Management Advisors of their respective Division or the Project Managers.
Main Responsibilities
Meetings and missions
- Preparation and administrative support to the division’s diverse and exciting range of official and informal meetings and events, including in-person, virtual or hybrid formats, both in Paris and abroad. This includes room reservations, preparation of participants lists, cocktail organization and providing secretarial support during the meetings.
- Organise contracts and payments for consultants and experts invited to the meetings and ensure the follow-up; organising travel for these participants; liaising with external partners and OECD support services; following-up on and tracking expenditure; taking the initiative to ensure that all payments related to meeting participants reflect cost-effective principles, liaising and negotiating with participants and service providers; and consulting managers as appropriate.
- Organise and prepare official missions for staff including travel arrangements and processing of expense claims using SAP software.
- Support and contribute to divisional priorities at peak periods to ensure that responsibilities are fairly shared across the team of assistants.
Publications and documents
- Provide assistance in the preparation of documents, publications and presentations, including\: tracking progress toward agreed deadlines; ensuring harmonisation of the various components and conformity to OECD standards; co-ordinating timely distribution by liaising with the appropriate services for document translation, reproduction and distribution. Prepare documents for final publication, using the most recently available software.
Other administrative duties
- In close collaboration with the Resource Management Advisor prepare contracts and payment orders for external consultants.
- Draft correspondence, invitation letters or notes in both official languages of the Organisation but mainly in English.
- Establish and maintain effective record management, distribution lists and electronic filing.
- Provide mutual support for other assistants as circumstances require.
- Carry out other official tasks reasonably assigned by the line manager.
Candidate’s profile
Academic Background
- A good secondary level of education.
Professional Background
- Relevant experience as an assistant, preferably in an international organization.
- Excellent knowledge, or ability to quickly gain the knowledge, of the rules and administrative procedures of the OECD, as well as of the procedures for the organization of meetings and missions.
Tools
- Expert knowledge and extensive experience of Microsoft Office, including Word, Excel and PowerPoint.
- Excellent knowledge of the OECD applications, such as SAP Missions, SRM, SRP, ONE Author and EMS/CRMS, or the ability to quickly learn them.
Languages
- Fluency in English and working knowledge of, or willingness to learn French (the other OECD official language), with a commitment to reach a good working level.

Contract Duration
- Two-year contract, with the possibility of renewal.
- Depending on level of experience, monthly salary starts at 3 724.38 EUR, plus allowances based on eligibility, exempt of French income tax.
