The Program Coordinator will join the Information & Media (I&M) practice to support various program teams and will provide strategic and administrative support in the day-to-day administration of practice-wide activities. The PC will provide administrative support to a variety of programs at the I&M practice including subgrant and contract drafting, reviewing of financial and programmatic reports, logistics, implementation of initiatives, and communication and reporting with partner organizations. The PC will support events and management, reporting internally and externally and carry out additional duties and tasks to meet the needs of the organization, team, or as assigned by supervisors. They will also provide support in the areas of administration, compliance, stakeholder communication, research, internal and external report and training preparation.

Your Background & Skills

  • Bachelor’s Degree.
  • 2+ years of relevant experience.
  • Experience in international development.
  • Demonstrated interest in supporting media literacy, digital development and building resilience to disinformation and propaganda.
  • Proven experience managing multiple administrative tasks in a demanding, time sensitive work environment.
  • Excellent writing and editing skills.
  • Experience conducting research and ability to proficiently articulate findings in English.
  • Proactive and comfortable with contemporary digital platforms for collaboration and communication.
  • Proficient in Microsoft office products, including and especially Excel.
  • Clear, succinct, and compelling communication skills, both oral and written.
  • Detail-oriented with ability to multitask and prioritize in a fast-paced working environment.
  • Proven communication and organizational skills with demonstrated cross-cultural sensitivity.
  • Ability to work in a team environment, including team members in multiple time zones.
  • Experience with subgranting and contract drafting desirable.
  • Understanding of US Government (USG) regulations.
  • Excellent ability to remain flexible while adhering to strict deadlines.
  • Outstanding presentation and interpersonal skills.
  • Speaking, reading and writing proficiency in English required. Use and command of a second language will be considered a plus.
  • You must have unrestricted authorization to work in the United States.

Your Daily Tasks

  • Manage event planning and coordination, including online events.
  • Contribute to donor-facing reporting in areas of responsibility.
  • Provide maintenance and editing of website content and design, including liaising with technical vendors as needed.
  • Contribute to content creation for program website.
  • Contribute to data-informed monitoring, evaluation, and learning as assigned.
  • Identify and document best practices, lesson learned and perform root-cause analysis and other problem-solving activities.
  • As assigned, stay up to the date about the regional landscapes where relevant field offices and partners are based and conduct continuous risk assessment of the national and regional operational landscape.
  • Assist in developing program material, including, for example, research and design of training workshops and curricula.
  • Lead internal team meetings on assigned topics as applicable.
  • Deliver internal and, occasionally, external program-related presentations as applicable.
  • Support senior staff and development officers in researching and developing proposals and other tasks as deemed necessary for new business development, to advance the work of the Information & Media Practice.
  • Lead specific proposal tasks or sections with minimal oversight.
  • Represent specific programs in external meetings and at external events with the support of senior staff.
  • Track and analyze financial data including program expenditures, program budgets, forecasts and recasts, and grantee and vendor payments as assigned.
  • Process and track grantee and vendor payments according to IREX procedures as assigned.
  • Independently draft/create and maintain procurement and financial records for review by project managers.
  • Prepare payment requests and invoices, accounting for accuracy and compliance.
  • Collaborate effectively as a full member of one or more program teams.
  • Develop effective relationships with other departments at IREX HQ such as Grants & Contracts Office (GCO), Finance, HR, others.
  • Develop effective relationships with field offices, consultants, vendors, and partners.
  • Other support duties as needed.
