MANDATE OF THE DEPARTMENT:
In order to deliver the UNAIDS mandate and provide leadership in the global AIDS response, the UNAIDS Secretariat counts on a capable and highly qualified workforce that is multiskilled, diverse, mobile and able to work across disciplines. Within the Department of Management, the Department of People Management (DPM) ensures that human resources are aligned with the organizational strategy and priorities. The work of DPM is based on effective policies and services for organizational development, performance, staff support and security.

The Facilities Management team in DPM provides a wide array of support services including with regard to management of facilities in Geneva, and major institutional contracts.
Main tasks and Responsibilities of the Position:
Reporting to the Head, Facilities Management, and working with large level of autonomy, the incumbent:

Facilities Management responsibilities
- Receives, analyses and reviews service requests, including installations of equipment; determines priority of work, plans and prepares work orders, assigns work and follows up on service complaints. Coordinates with requesting departments in case of changes in requirements and suggests alternatives or interim solutions. Organizes trainings and trains directly users on equipment installed.
- Coordinates and supervises repairs, maintenance and alteration work of the UNAIDS building (including installations, systems and equipment) and grounds in the purview of UNAIDS to ensure that quality of services performed by the contractors is in accordance with set terms and conditions, and agreed timelines are respected.
- Assists the supervisor in preparing draft proposals for maintenance service of existing facilities and infrastructure, and alterations work. Reviews offers submitted and studies proposed work methodology to determine extent of work required; presents alternatives as solution of problems. Accompanies contractors to job locations and provides support/advice as required. Inspects the commissioning of the work, and informs supervisor of completion.
- Reviews contractors' invoices and assists with cost recovery as required.
- Prepares and writes requisitions for purchase of equipment, material, spares, etc.; reviews and evaluates offers and coordinates with procurement team.
- Participates in the preparation of cost estimates of biennial budget and spending plan related to the Facilities Management sub-unit accounts. Supports the preparation of the yearly budget estimates and monthly tables of prorated charges for common services, and monthly/yearly consumption and expenditure tables as well as charts of general operating expenses.
- Manage and implement the physical inventory of non-IT assets at HQ, overseeing processes, entering data into the UNAIDS inventory system, ensuring appropriate bar-coding, and drawing the supervisor’s attention to discrepancies and lost equipment.
- Suggests ways to institute control and methods to improve service and reduce cost for UNAIDS.
- Provides support services to conferences and meetings, sessions, in liaison with focal points in requesting departments.
- Function as ‘Receptioner’ of all deliveries of all assets to UNAIDS Geneva.

Driving responsibilities
- Serve as driver of UNAIDS Executive Director’s official vehicle, transporting officials and high-level visitors upon request.
- Manage the UNAIDS official vehicle scheduling, costs and expenditures.
REQUIRED QUALIFICATIONS
Education:
Essential:
Completion of secondary school education or equivalent, complemented by clerical training, including the use of modern office technologies. Valid and clean driver’s license. Training in electrical and maintenance in work/repairs.

Experience:
Essential:
A minimum of five years of general office administration experience, including experience in dealing with financial matters. Experience in administrative processes of international organizations. Experience in the use of ERP modules. Considerable experience as driver of senior level officials in Geneva with an excellent knowledge of local rules, regulations and geography.

Desirable:
Knowledge of and experience with UNAIDS or WHO administrative policies.
Languages:
Essential:
Excellent knowledge of English and French with an ability to communicate with confidence and courtesy in both languages.

Desirable:
Good working knowledge of other official UN languages.
