This position is located in the Plant Engineering Section (PES), Facilities and Commercial Activities Service (FCAS), Division of Administration (DOA), Department of Operational Support (DOS). The incumbent reports to the Chief of the Section.
The Department of Operational Support was established to provide operational advisory services to operating entities across the Secretariat, including other departments, offices away from headquarters, field missions, and regional commissions. The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at the UN Headquarters, New York. FCAS also supports office and conference facilities, property management, travel and transportation services, archives and records management, mail and pouch operations, catering, gift shop and the United Nations Postal Administration.
Within delegated authority, the Facilities Management Assistant will carry out the following duties:
• Records, maintains, and certifies data for the Time and Attendance schedules and verifies that Time & Attendance schedules are correct.
• Participates in the preparation of reports on buildings services: collects and compiles information, checks statistical data for accuracy, makes simple cost calculations, translates statistical data into graphs, computes year to year operational expenses. Participates in budget projections and assists in the monitoring, tracking and updating of financial records of the Section, especially with respect to the allocated budget and ensures funds are available.
• Tracks all work performed by the Section which is cost recovered and creates service orders, sales orders and other documentation in support of this function.
• Performs contract administration functions including preparation of Scope of Work (SOW) documents for services, performing technical evaluations, maintaining of data related to assigned contracts, and performing necessary follow-ups with vendors and staff to ensure uninterrupted and efficient delivery of services.
• Initiates and follows up on pending requisitions and requests for additional work and priority services.
• Reviews contractors' invoices to ensure correctness and secures signatures of authorized personnel for approval of projects, requisitions, invoices.
• Creates, maintains and monitors project files for work.
• Develops and maintains a filing system for requisitions, original construction documents, architectural, structural, electrical, and mechanical drawings.
• Reviews contractors' invoices and assists with cost recovery as required.
• Maintains and files records on personnel matters.
• Periodically controls stock of office supplies of the section.
• Coordinates and monitors work performed by contractors to ensure adherence to work schedules and guidelines. Validates requests for installation and/or removal of telephone and electrical outlets.
• Performs other administrative duties as required.

High school diploma or equivalent is required.
A minimum of 3 years of experience in facilities management, building management, engineering, architecture, administrative services or related area is required.
Experience in iNeed or similar service management platform is desirable.
Experience with SAP or similar platform is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.Assessment
