Mission and objectives

UNISFA was established in July 2011 under authority of the UN Department of Peacekeeping Operations (DPKO). UNISFA is mandated to Strengthen the capacity of the Abyei Police Service (APS) by providing support, including the training of personnel, and coordinate with the APS on matters of law and order, Monitor and verify the redeployment of armed forces from the Abyei area in accordance with the 20 June 2011 Agreement, Provide de-mining assistance and technical advice, Facilitate the delivery of humanitarian aid and free movement of humanitarian personnel in coordination with relevant Abyei Area bodies, When requested and in cooperation with the APS, provide security for oil infrastructure in the Abyei Administrative Area (AAA) and later to organize the referendum The Council also authorized UNISFA under Chapter VII to: • Protect UN Personnel, facilities, installations, and equipment. • Ensure the security and freedom of UN and humanitarian personnel and members of the Joint Military Observers Committee and Joint Military Observer Teams established by the 20 June Agreement. • Protect civilians under imminent threat of physical violence; and protect the Area from incursions by unauthorized elements and ensure security.

Context

This position is in the United Nations Interim Security Force for Abyei (UNISFA). The UNV Supply Assistant reports to the Chief Centralized Warehouse to support operations in Supply Chain Management Section

Task description

Under the direct supervision of the Chief Centralized Warehouse or designated Supervisor, the UN Volunteer will undertake the following tasks: •Receiving and processing requests for equipment and materials. Prepare pick list and issue vouchers, for approved requests. •Preparing inventory for delivery against approved issue vouchers and ensuring timely delivery of goods to the beneficiaries; •Ensure proper procedures for receiving, storing and issuance of assets/materials are followed within the Centralized Warehouses. Adhere to the standard UMOJA processes and record all warehouse/inventory transactions using the UN ERP. •Perform movement of equipment/materials with accurate SAP/UMOJA T-Codes. Maintain accurate Bin Locations and stock holding in UMOJA. •Ensure the safety and security of the materials & the Warehouses; empower the Warehouse staff with the safety measures. Raise awareness in Occupational, Health and Safety (OHS). •Support identification of “minimum, re-stock (re-order) and maximum stock levels for the materials stored at the warehouse. •Prepare various warehouse activity reports including: key performance indicators (KPI), inventory reports, demand trend, scales of issue, cycle counting and statistics reports. •Evaluate in consultation with Supervisor all present and future requirements; in this respect, expedite all requisitions for international and local purchases and issuance. •Liaise with the Receiving and Inspection Unit (R & I) at the Mission, regarding received assets and materials, and conduct collaborative physical inspections of the received assets/materials, ensuring they are delivered in line with the purchased order. •Ensure that assets and materials received are classified in accordance with the United Nations policy. Ensure proper control and procedures for receiving, inspection, issuance and recording. •Coordinate and liaise with Technical Sections and end users to obtain full cooperation on asset management, receiving and stock management, issuance, physical inventories, data reconciliations and write-off. •Coordinate with the R & I, Technical Sections, and MovCon officers in respect of redeployment of assets and materials within the mission and shipments to other UN Missions. •Direct workload priorities, formulate resource allocations and monitor progress through statistical analysis of database records and monthly progress reports for the Unit. •Ensure that accurate and auditable records, in both hard and electronic format, are maintained for property control and accountability in conformance with Secretariat Administrative Instructions, Logistics Support Division (LSD)/Office of Chief Mission Support (OCMS). •Performing any other related tasks as may be required by the Chief Centralized Warehouse or the designated Supervisor. Furthermore, UN Volunteers are encouraged to: • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day) • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country; network and build relationships with local organizations, groups or individuals, and support and/or participate in local volunteering initiatives. • Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities. • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc. • initiate and/or participate in local volunteer groups, including assisting them in submitting stories and experiences to the World Volunteer Web site. • Promote or advise local groups on the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible; -Encourage, mobilize and support coworkers, fellow UNV volunteers and members of the local community to play an active part in peace and development activities on a voluntary basis. • Discuss with supervisors how volunteerism for peace and development can be mainstreamed in the assignment and integrate activities promoting volunteerism for peace and development into work plans. • Assist with the UNV “buddy Programme” for newly arriving UNV volunteers. Results/Expected Output: • The volunteer will have contributed to strengthening the UNISFA Health Services through quality assurance mechanisms. • Inclusion in Performance Appraisal Report of statement of achievements towards volunteerism for development and capacity building during your assignment such as specific quantification of mobilized volunteers, trained national colleagues, activities, capacities. • The Volunteer will have created an impact on the efficiency of the Clinic as the incumbent’s own initiative will be decisive in result of work and timely finalization.
