Background:
The Fund Administration Unit/Records Management’s portfolio is responsible for the development, implementation and overseeing the records management framework within the OSCE Mission to Skopje. It ensures the capture, distribution, storage and management of authentic and reliable records in accordance with accepted standards and best practices. Its scope of work includes registration and distribution of official correspondence, providing guidance on handling paper and electronic records, facilitating transfers of semi-active and inactive records, overseeing authorized destruction of records, all with a goal for long-term preservation of institutional memory.
The Unit would like to engage two national interns for a period of two months, tentatively June - July 2023. The selected interns will have the opportunity to:
• Gain valuable practical archiving experience and get acquainted with the Mission’s activities and its historical records;
• Learn about the day-to-day working environment of the OSCE and about the Organization’s mandate;
Tasks and Responsibilities:
Under the supervision of the Records Management Assistant, the national interns will be:
- Performing inventory of paper records placed in the Archive off site storage and enter data into database;
- Performing weeding, scanning, quality control and assigning metadata of the paper records;
- Repacking paper records into designated archive boxes and its labelling;
- Reorganizing paper records on shelves per category;
- Digitization of specified paper records;
- Performing other records-related tasks as required.

Necessary Qualifications:
- Citizenship of or permanent residence in the Republic of North Macedonia;
- Applicants should not be older than 30 years on the date of the deadline for application and have completed two years of full-time post-secondary education in an accredited institution or have completed a first or advanced degree in a field preferably related to history and archiving, no longer than two years before the date of the deadline for application;
- Interest in documentation and record keeping, archiving and/or library maintenance;
- Good organizational skills with ability to process and synthesize information quickly and efficiently (ability to extract key elements from written information), with attention to details;
- Ability to act with discretion with regard to information security and protection of confidential information;
- Good health and physical condition in order to lift boxes of records weighing 15 kg;
- Excellent written and oral communication skills in English and local languages;
- Computer literate with practical experience with Microsoft applications;
- Ability to work with people of different nationalities, religions and cultural backgrounds;
- Demonstrated gender awareness and sensitivity, and ability to integrate gender perspective into tasks and activities.
Remuneration Package:
Please note that the OSCE is not in a position to pay any remuneration during the period of internship, nor reimburse travel expenses. In lieu of remuneration, the Mission may contribute with an equivalent to 10% of the applicable BLA rate payable per diem (approximately EUR 11) to interns who are non-residents at the duty station.
The selected intern may participate in the group health insurance scheme at his/her own expense, but the OSCE will cover life and accident/disability insurance. If the intern opts to arrange his/her own medical coverage, he/she shall provide evidence of medical coverage for the duty station he/she applies to, and for any eventual duty trip destinations.
The internship will be on a full-time basis, for a period of 2 months. It will not, in any way, constitute a promise of a future employment with the OSCE.
