Dear Sir/Madam,
UNFPA hereby solicits a quotation for the following service:
“Engaging Private Sector and Bilateral Partners”
UNFPA India is issuing a formal Request for Quotation (RFQ) to solicit proposals to organize roundtables on its behalf. These roundtables will be designed to include participation from relevant and valuable private sector stakeholders as well as bilateral donors and partners at the national level and in specific states towards creating awareness about UNFPA’s mandate in India, building common understanding on issues and exploring value-based partnerships including resource mobilization.
The roundtables will culminate following scanning and preliminary research including assessing their strengths, CSR and sustainability policies to identify appropriate private sector and bilateral partners who are aligned to UNFPA’s mandate in India.
Number of Roundtables to be held: 3
 
One at the national level and two in two of the four focus states of UNFPA (Madhya Pradesh, Odisha, Bihar and Rajasthan) in the year 2023.

Service Requirements/Terms of Reference (ToR)
A.Scope of Work
UNFPA India aims to hire an agency that will work closely with Resource Mobilization and Partnerships Specialist at UNFPA and be responsible for the following:
  • Conduct landscape mapping to identify the private sector players, industrial bodies, and bilateral partners with CSR/sustainability policies aligned to UNFPA’s mandate at the national and state levels
  • Develop concept notes, agenda, identify and invite relevant stakeholders and secure the participation in the Roundtables as per the minimum participation criteria, in consultation with UNFPA.
  • Manage logistics for the event, including venue selection, catering, audio-visual equipment, and other necessary arrangements.
  • Ensure media visibility for the events.
  • Facilitate the discussions through subject-matter experts during the Roundtables to ensure that all participants can share their perspectives and ideas.
  • Prepare a report on the key outcomes of the Roundtables, including recommendations for further action and potential areas of collaboration between UNFPA and the partners.
  • Develop a follow-up plan for engaging with the private sector and other relevant stakeholders after the Roundtables.
B.Deliverables: - The agency will deliver the following:
  • Concept note and agenda for the three Roundtables.
  • List of invited stakeholders and confirmation of their attendance
  • Logistics plan for the events
  • Agenda, short background paper and other materials as required shared a week prior to each roundtable.
  • A communique summarizing the Roundtable discussion for the website.
  • Report on the outcomes of the Roundtables
  • Follow-up plan for engaging with private sector and other relevant partners/stakeholders after the Roundtable with a focus on collaboration, joint programming, and campaigns.
C.Key Requirements/Key Skills/Technical Expertise
The agency will be evaluated based on the following criteria:
  • Relevant experience in organizing similar events at the national and subnational level
  • Existing partners
  • Ability to deliver high-quality outputs within the specified timeline and budget.
  • Creativity and innovation in developing the concept note and agenda for the Roundtable.
  • Capacity to engage with diverse stakeholders and facilitate constructive discussions.
  • Total budget proposed.
  • Team composition
  • Understanding of UNFPA's mandate and the SDGs
