THE EXECUTIVE DIRECTORATE (EXD)

The Executive Directorate (EXD) is the steward of OECD resources, on behalf of the Secretary-General.  Our focus is on people and their wellbeing; the effective and efficient management of the budget; the safety and security of staff, Delegations, visitors, and of the OECD’s data; maintaining and sustaining physical and digital infrastructure; and enabling the convening power of the OECD through conferences, meetings and events, whether virtual, physical or hybrid.  As well as providing corporate services, functions and management support to our staff and Members, we provide integrated, strategic and expert advice on corporate policies and management issues to the Secretary-General, to Council and to Standing Committees, to which we regularly report on corporate matters. We also provide compliance and risk management functions (for management areas under our purview). Ours is a fast-paced environment focused on delivering management excellence across all of our functions.

THE DIGITAL, KNOWLEDGE AND INFORMATION SERVICE (EXD/DKI)

Within the Executive Directorate, working closely with business partners, the Digital, Knowledge and Information Service (EXD/DKI) designs and provides secure digital solutions, IT and information management services and the technologies to deliver efficient corporate services, meet business partners’ needs and to support and enhance the OECD’s global role in building knowledge, communicating with the world and interacting with governments to inform and influence policy-making.

EXD/DKI is looking for Engagement Co-ordinators for teams in the Business Partnerships Division, the Digital Security Office, the Digital Workplace Services Division and the Information Services Unit in the Head of Service Office. All Engagement Co-ordinators will participate in client engagement, change management activities to support the effective rollout and user adoption of EXD/DKI policies and services, monitor activity progress across the team, ensure timely follow up escalating when appropriate to provide satisfactory service levels and update regular Key Performance Indicators. The Engagement Coordinator in the Information Service Unit will supervise a small team.   S/he/they reports to the designated manager for the role.  

Main Responsibilities

Engagement and Change Management

  • Deliver cost-effective services to meet the Organisation’s business requirements, in accordance with service level agreements and industry best practices.
  • Demonstrate operational excellence, contribute to identifying opportunities for improved ways of working; propose changes to policies, processes and corporate tools to align with business needs, propose and implement innovative approaches to increase efficiency and greening;  flag recurring issues as appropriate for action to improve services/solutions.  Participate in solution test/validation phases as required.
  • Monitor team progress, ensure  timely follow up and escalate issues when necessary, such as to resolve timebound or politically sensitive issues.
  • Participate in collecting and documenting client input, draft associated requirements documents to formalise and shape demands, draft project agreements.
  • Facilitate engagement, organise and participate in animating workshops, focus groups, presentations and meetings.
  • Update and issue regular Key Performance Indicators and reporting. 
  • Participate in change management activities for corporate initiatives, this includes identifying key stakeholders, planning associated activities, accompanying clients during rollout and adoption phases, transferring knowledge to others as necessary, measuring impact.
  • Participate in defining and planning training and communication materials to support new corporate initiatives and processes.

Other

  • Support digital security incident responses as needed.
  • Supervise a small team to deliver agreed services as required.

Ideal Candidate Profile

Academic Background

  • Post-secondary education in IT, information management or communications related disciplines. A university degree  would be preferable.
  • Relevant professional certifications would be an advantage.

Professional Background

  • Proven experience in a client service role including collecting and analysing information, providing support and  drafting proposals, processes and user guidance.
  • Experience accompanying change or new work methods preferably in a multicultural environment.
  • Demonstrated experience co-ordinating, supporting and contributing to concurrent projects.
  • Supervisory experience would be preferable.
  • Experience developing metrics and reporting would be an advantage.

Engagement Coordinators are not expected to know all of these tools.

Languages

  • Fluency in one of the two OECD official languages (English and French) and a knowledge of, or a willingness to learn, the other.
  • Knowledge of other languages would be an asset.

Core Competencies

Contract Duration

  • Three-year fixed term appointment, with the possibility of renewal.

What the OECD offers

  • Monthly base salary starting from 4,421 EUR, plus allowances based on eligibility, exempt of French income tax.
