Job Overview/Summary
The Finance Department Officer is an essential representative of the executive office and is responsible for the specialized and dedicated strategic and day-to-day operational oversight and execution of critical processes across Finance, as directed by the Chief Financial Officer. Critical skills include the ability to work and thrive in a fast-paced environment, experience working with C-suite executives, strategic thinking, poise, and the ability to prioritize and work independently.

We’ll trust you to provide frontline support including and not limited to:
With guidance from the Chief Financial Officer, manage various projects as assigned, complex calendar coordination, email and meeting requests (including those with board members, IRC leadership, and other internal and external meetings); gathering information in preparation for Board Committee and other meetings; support for the consistent flow of information to/from the SVP. Serve as backup support with various requests going to the CFO office – incoming contracts, legal agreements, and grants. On occasion, assist with the various paperwork and banking needs related to the CFO office. Manage the creation and internal publication of departmental organization charts. 
Collaborate with the: CFO; Director, Strategic Initiatives & Delivery; and the entire Global Finance Leadership Team on strategic projects: Attend relevant meetings; follow up on pertinent action items. Track the next steps on meeting outcomes and communications.
Identification and implementation of continuous improvement of critical business processes: Assist as necessary in organizing and supporting meetings and conferences. Prepare reports for the SVP by researching, transcribing, inputting, editing, and retrieving text, data, and graphics from multiple sources of information and meetings.
Assist with preparing, editing, scanning, copying, and distributing written correspondence – including PowerPoint and other document formats.  From time-to-time author, ghostwrite, and provide editorial support on letters, emails, talking points, and presentations.
Provide backup support to the Finance Department when the Finance Operations Coordinator is out (i.e. ordering equipment for new employees, assisting with onboarding, and processing expense reports, as needed.
Works closely and in conjunction with Finance Operations Coordinator to ensure smooth departmental operations. 
Plan, communicate and complete assigned projects and initiatives from inception to completion.
Field ad hoc requests from within Finance and other departments.
Perform other job-related duties as assigned, and occasionally work extended hours when necessary.

Key Working Relationships: 
Position Reports to: Senior Vice President, Chief Financial Officer
Other Internal and/or external contacts: Works closely with and collaborates regularly with the Finance team and other HQ Department Managers and Executive Assistants to plan cross-functional leadership meetings, and other activities/events sponsored by the SVP to promote a positive work culture and encourage interaction within and across teams.

Your experience will include:
Bachelor’s degree or equivalent experience
At least ten (10+) years working in a fast-paced office setting, with at least 2 years of experience working as an Executive Assistant or Department Manager to C-suite leaders or in a comparable role
Familiarity with complex scheduling
Solid Microsoft Office skills, with specific expertise with PowerPoint and Excel
Organizational and time management skills: the ability to work accurately and productively in a fast-paced environment and respond/adapt to shifting priorities
Excellent interpersonal, written and verbal communication skills: the ability to effectively interact with a variety of internal and external stakeholders with confidence, tact and diplomacy
Strong listening skills and the ability to accurately follow up 
Exceptional attention to detail and dedication to deadlines
The ability to work respectfully and confidentially in a team environment, as well as take initiative and perform routine tasks independently

We’d love to see:
Experience working in a non-profit organization, C-suite and/or finance department  
Strong interest in continued development
Experience working in complex, matrix organizational structures a plus
 
Language Skills: English (fluent), additional languages a plus.

Compensation:
Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
