4. Expected tangible and measurable output(s)
1) Administrative tasks related to the support and preparation of intergovernmental processes, accomplished;
2) Direct e-mail communication and correspondence with external stakeholders maintained and/or edited and followed-up, as duly assigned;
3) Relevant OCB websites edited, maintained and/or developed;
4) Relevant shared mailboxes monitored, as appropriate and in coordination with other colleagues involved;
5) Related functions of the Conference Support Section performed, as assigned by the responsible Crime Prevention and Criminal Justice Officer of the Section, and as required by the Section's Chief.

5. Administrative arrangements:
Payment will be made upon satisfactory performance, as confirmed by the supervisor, on a monthly basis.

6. Indicators to evaluate the individual contractor’s performance:
All output shall be assessed according to the following indicators:
• Efficient, well thought-out and appropriate completion/resolution of the issue or task;
• Timeliness;
• Achievement of goals;
• Accuracy and quality of work;
• Effective teamwork.

Expected duration

From 1 July 2023 to 31 December 2023 for 6 months.

Duties and Responsibilities

1. Background:
The post is located in the Conference Support Section (CSS), Organized Crime and Illicit Trafficking Branch (OCB), Division for Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC). The incumbent will work under the direct supervision of the responsible Crime Prevention and Criminal Justice Officer in the Conference Support Section, and general supervision of the Chief of the Section.

2. Purpose of the assignment:
The purpose of the assignment is to support various aspects of the work of the Conference Support Section (CSS), Organized Crime and Illicit Trafficking Branch (OCB), with a main focus on administrative tasks relating to the support of intergovernmental processes and meetings.

3. Specific tasks to be performed by the individual contractor:
• Assist, as a member of a team, in the administrative support of future work of intergovernmental bodies at their meetings within 2023;
• Perform tasks related to awareness-raising, including assisting in and creating visual materials (i.e. power point presentations, brochures and flyers), as well as planning, designing and developing new websites, in close coordination with relevant staff members;
• Process documents, publications and formal/official communications by verifying and submitting documents/texts to ensure compliance with relevant submission standards and regulations as well as formal, protocol and/or other requirements; and assist in the preparation of documents and outgoing official communication, e.g. notes verbales for submission to the translation services and text processing units, by checking accuracy of information, reference material, style and adherence to established formal standards, and by verifying resolutions, quotations etc. and by providing basic reference assistance as necessary,
• Register delegates for intergovernmental meetings, and, as appropriate, carry out Gate 1 registrations on the first day of each meeting, prepare lists of participants to send to Conference Management Services after formatting, follow-up on submissions and upload the final list of participants to the UNODC website of such intergovernmental meetings, as appropriate;
• Upload meetings documentation to websites, as appropriate;
• Update webpages of intergovernmental meetings, as appropriate;
• Enter, track and update document information in the electronic Documents, Conference and Production Management System (DCPMS) database; follow-up on submissions and problems which may occur.

Qualifications/special skills

A high school degree or equivalent is required.
• A minimum of one year of experience in conference servicing, text processing, proof reading or editing, processing of multilingual official documentation/correspondence or related area, preferably in an international setting, is required.
• Familiarity with United Nations standards and rules on handling and control of documentation and official correspondence as well as working experience with IT applications (e.g. MS Word and Excel, graphics software, Adobe Acrobat, etc.) and database management (e.g. Web CMS 3 content editor) is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position, fluency in English (both oral and written) is required. Knowledge of another United Nations official language is an advantage.
