Functional Responsibilities

Under the overall guidance of the Project Management Officer-Grants, the Project Management Intern (Grants) will undertake the following duties and responsibilities, as relevant and applicable based on the detailed work plan to be established with the incumbent.

These responsibilities include, but are not limited to support of the following activities:

  • Support effective and compliant grant management implementation in line with the stated scope, timelines, and operational instructions,

  • Conduct desk research and follow up on similar development partners’ schemes and strategies, as well as relevant activities of the grant applicants and grantees, 

  • In coordination with the supervisor and other team members, contribute to the review and updating of specific documents, forms and instruments comprising Calls for Proposal (CfP) with consideration of selection criteria

  • Support administration of the grant project proposals by collecting, reviewing, classifying and archiving the project proposal submissions, 

  • Support the dissemination, outreach and operational activities related to the grants and CfPs, including grant selection committee meetings, 

  • In cooperation with the support services unit and other team members, support administration of the grant management activities by monitoring and keeping track of the progress of grantees, as well as collecting, reviewing, classifying and archiving narrative and financial reports,

  • Support preparation and update of operational and evaluation reports to be provided to the grant selection committee meetings, project steering committee meetings and other stakeholders, in line with the operational instructions and the terms of the relevant project and grants contracts,

  • Assist in drafting and/or proofreading internal and external email communications, letters, presentations and other related content, 

  • Support the setup of web conferencing and other online collaborative workspaces as requested.

Education/Experience/Language requirements

Education:
  • All applicants must be enrolled or have graduated from a university programme at the Bachelor, Masters or PhD levels within three (3) years prior to the application date of the internship

  • Area of study should be preferably one of the following: accounting, public or business administration, economics,  social sciences, development studies, or similar.

  • Certification and/or proof of completion of relevant training courses in areas such as project proposal writing, grant, finance management and/or EU project management, monitoring & evaluation, or similar, is an advantage

Experience:
  • Applicants are not required to have professional work experience but experience working in project and finance management, grant administration, and/or project monitoring & evaluation and/or business development areas is highly desired.

  • Experience working on word processing software, spreadsheets, tables, pivot tables and charts, graphs and some proficiency with GSuite applications is an asset.

  • Experience in working with the international aid development sector, including the UN system and/or the EU is an asset.

Languages:
  • Fluency in written and oral English and Filipino is required.
