Description
Job Purpose: To support operations and annual giving for the Philanthropy Team, including database management, stewardship of mid and low-level donors, leading research, insight, and programmatic information. The successful candidate will be supporting the growth of partnerships with major foundations, corporates and high-net-worth supporters.
Key working relationships (internal): Philanthropy and Communications (UK and US), Finance and Administration (US), Executive Director, CEO Office.

Salary: $50000 - $60000 (Dependant on experience)
Position: Full-Time, Permanent
Location: Hybrid; there is a requirement for regular (2-3 days weekly) attendance at HALO’s office in Washington DC
The HALO Trust (USA) is a non-profit 501(c)(3) organization specializing in the removal of landmines and other explosive remnants of war, with projects in 28+ countries and territories employing almost 10,000 people. HALO’s Washington, DC office works with foundations, government partners, international agencies, and private donors to increase awareness of the impact of landmines on post-conflict communities, and to raise funds to support the HALO teams working all around the world.
Key Responsibilities:
- Responsible for private donor gift processing and accurately entering gift and donation data into Salesforce, including offline gifts and those from third-party donation platforms.
- Working with the philanthropy and finance team to reconcile gift entries and grants, clarifying donation restrictions, or answering any other questions related to donor gifts
- Act as the key liaison between the philanthropy and finance teams to ensure that all donations, including bank transfers, online giving (on HALO’s website as well as through third-party sites), cash and cheques, are tracked and recorded accurately
- Drafting letters to donors from HALO leadership, updating case statements, conducting presentations and booking meetings with donors and partners, as needed
- Generate and send timely donor acknowledgment letters, receipts for gifts, and stewardship touchpoints.
- Develop strategic fundraising products to drive the growth in major gifts
- Creating Salesforce reports and dashboards on revenue, analysis of giving and mailing lists, as well as other reports as needed
- Keeping track of quarterly and fiscal revenue goals, baseline analyses, forecasting, and uploads of annual opportunities and multi-year pledges
- Maintaining individual donor files and gift documentation, as well as updating CRM data promptly.
- Acting as CRM (Salesforce) expert by ensuring management and maintenance, identification of opportunities for new efficiencies and issuing relevant information to the rest of the philanthropy team on the license, upgrades, and new features.
- Equip our highly skilled philanthropy team with the information, knowledge, and support they need to prospect, cultivate, and solicit major gifts
- Lead the research required to enable internal senior stakeholders to respond quickly to new opportunities for major philanthropic partnerships in tight timeframes
- Oversee individual donor research, screenings and ratings, and donor briefing preparation
- Act as lead for due diligence, embedding a best practice approach to ensuring the appropriate level of research and assessment for new opportunities
- Manage the fundraising inbox, including responding to inquiries and escalating issues where required
- Assist with board and development committee reports, packets, and meeting minutes
- Place orders, make purchases and reconcile expenses
- Provide event logistical support
Requirements
Essential:
- Bachelor’s degree
- Strong attention to detail, organization skills, resourcefulness and a willingness to learn
- Basic Excel knowledge - able to manage spreadsheets and financial information
- Excellent written skills and the ability to provide strong first drafts
- Strong intellectual curiosity
- Research experience
- An outstanding commitment to accurate data recording and reporting
- Comfort within a fast-paced office environment
- A desire to be accountable, take on additional responsibility, and to learn and grow
- Is a team player, but can also work independently and has an entrepreneurial mindset
- A commitment to HALO’s mission and objectives
Preferred Qualities:
- Experience in providing administrative support in a busy team to tight deadlines is a plus
- 1-2 years of demonstrable experience in using Salesforce, Raiser’s Edge, or other Similar CRM reporting systems for donation processing
- Familiarity with a non-profit environment, ideally in international development

Salary: $50000 - $60000 (Dependant on experience)
Vacation Time: 25 days (5 weeks) paid vacation (PTO) accrued at 16.667 hours per month.
Sick Leave: 5 days (1 week) paid Sick-Leave. Sick Leave cannot be ‘carried-over’ to the next year.
Holidays: HALO USA observes all USA Federal holidays.
Savings Plan: A 401(k) retirement savings plan is offered to our employees, but managed entirely through our Payroll provider, Insperity. HALO USA will ‘match’ up to 5% of an employee’s contributed monthly savings to their 401(k) account.
