Duties and Responsibilities
The internship is located in the Office of the High Commissioner for Human Rights (OHCHR), Programme Support Management Services (PSMS), Office of the Chief (OC). Under the overall guidance of the Chief of PSMS, the intern will perform the following duties: • Assists in the maintenance of websites by scanning, converting and preparing a variety of documents be posted online. • Assists in the preparation of presentation materials using appropriate technology/software. • Assists in providing software and office equipment support. • Provides guidance on computer applications, use of databases etc. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats. • Generates a variety of standard statistical reports, using various databases. • Provides support with a wide range of office support and administrative functions. • Drafts responses to routine correspondence and other communications; uses standard word processing package to draft a wide variety of documents and reports. • Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. • Screens phone calls and visitors, refers inquiries to appropriate staff for handling. • Provides support with secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff. • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions. • Performs general administrative tasks to include drafting administrative requests/documents. • Proofreads documents and edits texts. • Performs other relevant tasks as assigned. Takes personal responsibility for his/her own shortcomings and those of the work unit, where applicable. Interns are not financially remunerated by the United Nations. Costs and arrangements for travel, visas, accommodation and living expenses are the responsibility of interns or their sponsoring institutions. Interns who are not citizens or permanent residents of the country where the internship is undertaken, may be required to obtain the appropriate visa and work/employment authorization. Qualifications/special skills
Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a second university degree, equivalent, or higher; (b) be enrolled in, or have completed, the final academic year of a first university degree (bachelor’s degree or equivalent). Applicants are not required to have previous work experience. However, a field of study that is closely related to the type of internship that you are applying for is an advantage. Languages
English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of French is desirable.
